About the Role
Wescorp Sandalwood is a family owned business processing and marketing sandalwood since 1994.
We are seeking a passionate administrator to join the hard-working team as a Documentation Officer. Based in Canning Vale, and reporting to the Logistics Manager, and Board of Directors. The Documentation Officer will support the Logistics Manager and Sales Manager in organising and completing export documentation. As a Documentation Officer – Exports and Compliance you will play a crucial role in ensuring our operations adhere to all relevant industry regulations and standards.
Responsibilities:
Preparing and ensuring documents are completed accurately for overseas customers
Raise RFP’s / Complete RFP’s and obtain health certificates
Booking Fumigation and submitting request forms
Complete sandalwood tracking forms within required time
Prepare Certificates of Origin
Check & obtain original Bills of Lading
Checking Letter of Credits to ensure they meet contract requirements
Comply with Letter of Credit create Bank Drafts and Lodgements
Arrange any other documents required by the customer or country requirements
Ensure compliance with international trade regulations and requirements of importing countries
Maintain accurate records of all export documentation
Collaborate with sales, production, and logistics teams to ensure accurate and timely fulfillment of orders
Maintain an organized system for tracking orders
Managing the organisation's ISO Quality Management System (ISO 9001) and Environmental Management Systems (ISO 14001) accreditation guidelines
Maintaining and updating regulatory ISO documents
Actively participating in external ISO audits and inspections
Overseeing the Corrective Action System and documenting information procedures
Maintaining records, files, and databases for traceability and review to ensure compliance with requirements
Action on audit requests and non-conformity reports
The successful applicant will:
Previous experience in a documentation and/or shipping role advantageous
Exceptional Customer Service skills
The ability to work under pressure and maintain accuracy in a fast paced work environment
Excellent time management skills and ability to multi task, and prioritise work load
Microsoft skill in Outlook, Word and Excel
Ability to work with minimum supervision and work as part of a tight knit team
Be able to use own initiative
High level of attention to detail and accuracy, and efficient data entry skills
Strong computer literacy skills including excel, word and outlook
Ability to respond calmly in difficult situations maintaining a strong customer service focus
Excellent attention to detail
Takes other's perspective's into consideration
