Vee-Tek Australia is seeking an enthusiastic and experienced to join their small dynamic team. The role is for a Part-Time Executive Assistant, commencing 3-4 days per week progressing to 5 days.
About us:
Our production facility is based on the Central Coast, NSW where we have been based for 35+ years employing local people. Throughout these years we have assisted in the design, formulation & then through to ongoing manufacturer of a range of products for some leading companies within Australia through our manufacturing agreements.
Objective of the Role:
The Executive Assistant will primarily support the Director while also providing additional assistance to other team members as needed. This role is key to ensuring that company goals and objectives are met, while helping streamline operations to run efficiently. You will be responsible for refining and optimizing workflows, including scheduling and communications, and maintaining a smooth and productive work environment. Additionally, you will be handling communications and coordination of various projects and tasks. The role will also include performing ad-hoc administrative duties as required.
Responsibilities:
· Provide comprehensive administrative support to the Director, managing email correspondence, creating and distributing memos, letters, spreadsheets and forms.
· Serve as a point of contact for customers and suppliers, managing purchase orders and related communications.
· Maintain and organize company electronic filing systems, contact databases and inventory.
· Provide general office support, including typing, dictation, spreadsheet creation, and ensuring accurate record-keeping of all important documents and contacts.
· Manage professional scheduling for the Director, including coordinating agendas, mail, emails, phone calls, client interactions, and other logistics.
· Assist with ad-hoc administrative tasks as needed, such as, data entry, preparing presentations, social media copy and other special projects.
Required Skills and Experience:
· Exceptional written and verbal communication skills.
· Proficient in using office productivity tools (Microsoft Office Suite, etc.) and a quick learner of new software and systems.
· Strong time-management skills, with the ability to manage and coordinate multiple projects simultaneously.
· Flexible and adaptable team player who embraces challenges and change.
· High level of professionalism and discretion, with the ability to handle confidential information appropriately.
