Melbourne Girls Grammar is seeking a motivated and highly organised Student Services Administrator (Years 5 - 12) to join the Merton Hall Student Services team. This position is parental leave replacement position. Working hours are 8.00am to 4.00pm.

Working in conjunction with the Student Services Co-ordinator 5-12, this position is responsible for student-based administration, data entry and student event support for the Senior and Middle Years Programs. This role supports the Health Centre during peak times by acting as the initial point of contact for students requiring First Aid.

We are looking for a candidate who is polished, friendly, and warm in their demeanour, will show strong initiative and exercise a high level of confidentiality and discretion who thrives off interacting warmly with customers and stakeholders.

They will be naturally, collaborative, enjoy a challenge and keen to be as efficient as possible. The successful applicant will be provided with a supportive orientation program and training in School systems and processes.

Key responsibilities may include but are not limited to:

Daily management of student attendance records including taking telephone calls from parents/guardians regarding student absences, recording information and contact parents via SMS regarding unexplained absences.

Managing incoming phone calls ensuring messages and calls are passed on to the relevant Executive Director or member of the Student Services team.

Ensuring student information is collected and stored confidentially and privacy of school information is safeguarded.

Management of student files, copying and filing of correspondence as required.

Organisation and distribution of general communications with parents and the school community on eVI news, parent homepages and via email.

Assist staff with the creation of parent communication through Consent2Go for camps and excursions.

Assistance and support for the Executive Director, Senior Years and Executive Director, Middle Years as required.

In conjunction with the Database Manager, updating student data in the Synergetic database for Years 5 - 12.

Supporting the VCE Office including data entry, supervision of exams, scheduling and any other duties as needed.

The successful candidate ideally will possess:

Experience in Reception, Administration or Customer Service roles;

The ability to exercise confidentiality, sensitivity, and discretion in relation to Student and School information at all times.

Excellent written and verbal communication skills;

High attention to detail and data accuracy;

Strong initiative and proactive attitude;

Willingness to learn;

Strong digital literacy skills including MS Word, Excel and Outlook;

Current Victorian Employee Working with Children Check (WWCC) or willingness to obtain.

Current Provide First Aid Qualification (HLTAID011)
