WE’RE HIRING:
We are a dynamic and fast-paced team focused on providing exceptional service to our clients and supporting our team of Business Coaches. Due to an internal promotion, we're seeking a Receptionist / Office Administrator to join our friendly, professional environment in Maroochydore, on the Sunshine Coast. This is a great opportunity for someone with a background in hospitality and administration, looking to take the next step in their career. ABOUT YOU:

We’re looking for someone who has at least 2 years of experience in hospitality, events or administration, with a strong focus on customer service. Your previous experience in handling fast-paced environments will allow you to thrive in this role. Here are some qualities we’re looking for:

Excellent Communication Skills: You can interact with clients, team members, and external stakeholders confidently and professionally.

Customer-Focused: You're dedicated to providing exceptional service and always ready to go the extra mile.

Discreet & Trustworthy: You handle sensitive information with confidentiality and professionalism, understanding the importance of privacy.

Tech-Savvy: Comfortable with office productivity platforms (Microsoft Office, Google Workspace) and virtual meeting platforms (Zoom, Teams). Experience with audio-visual equipment is an advantage.

Organized and Detail-Oriented: You have a keen eye for detail and are able to juggle multiple tasks without missing a beat.

Team Player: You’re comfortable working closely with others and believe in the power of collaboration.

Proactive and Efficient: You anticipate needs, solve problems quickly, and keep things running smoothly.

Adaptable: You thrive in a fast-paced environment and are eager to learn and grow.

ABOUT THE ROLE

KEY RESPONSIBILITIES

Reception: Provide a warm, professional greeting to clients, assisting them with meeting preparation requirements and catering requests.

Administrative Support: Assist with client communications, managing correspondence, handling calls, and providing clerical support to team members.

Communication: Manage inbound and outbound communications, including screening calls, emails and correspondence. Draft, edit and proofread emails.

Office Operations: Coordinate day-to-day office activities, ensure equipment and facilities are maintained, and handle office maintenance issues.

Office Supplies: Monitor inventory levels, order office supplies, and manage vendor relationships to ensure necessary resources are available

Meeting Preparation: Prepare agendas, organise materials, prepare meeting rooms.

Events Assistance: Assist the Events Team with setup and take down of in-house events, including catering coordination.
