Position Overview

We are seeking a highly organised and proactive Rental Coordinator to join our team in Homebush West. This role is pivotal in managing our rental assets, ensuring they are well-maintained, accurately tracked, and efficiently utilised. The ideal candidate will have a background in the rental or industrial services industry and possess excellent communication and reporting skills.

Position Duties

  • Rental Contract Management: Create and manage rental contracts, ensuring accuracy and timely processing within the same business day.
  • Asset Status Updates: Maintain up-to-date records of rental assets, including on-hire and off-hire status changes.
  • Data Accuracy & Reporting: Ensure fleet sheet data is accurate at the close of each business day.
  • Customer Communication & Coordination: Implement proactive communication protocols to ensure seamless customer interactions and timely delivery of rental services.
  • Transport Coordination: Arrange transport and logistics for rental assets, ensuring efficient and timely deliveries.
  • Invoice & Purchase Order Processing: Process invoices and purchase orders for external clients and subcontractors, particularly for end-of-month financial reconciliation.
  • Operational Support & Administration: Provide administrative support to operations, including general hire coordination tasks.
  • Parts Handling: Receive and manage parts required for operational needs.
  • Equipment Handling & Logistics: Load and unload rental equipment.
  • Pre-Hire & Post-Hire Inspections: Conduct thorough pre-hire and post-hire checks on rental equipment to ensure quality and compliance.

About You

  • Previous experience in rental coordination, preferably within the industrial services industry – Preferred, not required.
  • Strong organisational and time-management skills.
  • Proficiency in fleet management systems and reporting tools – preferred, not required.
  • Excellent communication skills, both written and verbal.
  • Ability to work collaboratively with different teams and departments.
  • Forklift licence desirable.
