My University sector client is looking for a Supplier Management Coordinator to provide general supplier management support for Central Operations Services (COS), ensuring the delivery of efficient and effective commercial activities. You will provide guidance, advice, and support to the COS Commercial Manager in the supplier management team in the delivery of work outcomes.
We are not looking for an Office Admin or Executive Assistant for this role. A commercial background with supplier interaction within the construction industry is essential. You will come with commercial experience, particularly in relation to performing secretariat duties in supplier performance meetings. Previous experience in supplier performance meetings and/or working with contracts highly desirable

Key responsibilities:

  • Organise supplier performance meetings (including Key Performance Indicator KPI and Steering Committee meetings), preparing agendas, minutes, record keeping and distribution of KPI results to suppliers for review
  • Successfully facilitate at least 20 meetings per month
  • Support COS Commercial Manager with coordinating issues or requests that arise from these meetings and following up on actions from these meetings. Uploading of KPI results into SharePoint
  • Provide high quality and efficient commercial secretariat support
  • Resolve complex matters and ensure appropriate, efficient action is taken for matters brought to the work area
  • Provide high level coordination in relation to minuting and scheduling of meetings
  • Take the lead in handling stakeholder communications, ensuring that concerns are addressed effectively and timely while fostering a culture of trust and collaboration
  • Collaborate with stakeholders
  • Develop and maintain a productive and collaborative relationship with COS Commercial Manager, ensuring effective communication
  • Assist with day to day tasks associated with supplier onboarding of new suppliers, approval of induction training, liaising with Information and Communications Technology (ICT) for unikey creation, documentation approval and maintaining data collation aligning with University of Sydney (UoS) policy and compliance within internal SharePoint system


About you:

  • Previous commercial experience working with suppliers is essential.
  • The suppliers are within the construction industry so a background in supplier management in construction is ideal for this role.
  • Previous experience in performing secretariat duties in supplier performance meetings and/or working with supplier contracts highly desirable.
  • Experience in providing commercial secretariat support
  • Proven ability to plan and service meetings (minutes, agendas and follow up action items)
  • Demonstrated experience in a busy commercial environment
  • Record keeping experience with proven attention to detail
  • Computer literacy and proficiency with Microsoft Office suite and SharePoint
  • Excellent communication both written and oral.
