Asset Data Specialist | Mainpac and SAP | NSW Government

Primary Purpose of the Role:

You will be working within the Asset Systems team to capitalise project and equipment expenditures against physical assets. The tasks will include:

• Identifying expenditures for each work package held in the SAP Financial System
• Determining if the expenditures relate to existing assets held in the Computerised Asset Management System (Mainpac)
• Using a preformatted Excel spreadsheet and guidelines provided, updating or creating new asset records using a hierarchical asset segmentation method and allocating the expenditures
• Reconciling the asset and financial records and seeking endorsement from the Asset Systems and Finance teams for each dataset

Challenges

• Using your investigative skills to sift through records that are often incomplete—project scopes of work, contract schedules of rates, purchase orders, invoices, emails, etc.—to visualise the assets that were created and the expenditures that align with these assets
• Working across multiple software systems and tools that have distinctly different purposes and user interfaces
• Ensuring fit-for-purpose asset data structures and financial expenditure reconciliations that are accurate to the cent

Essential Criteria

• Engineering: A solid understanding of engineering terminologies, infrastructure, and building components to effectively deal with the technical aspects of the asset, procurement, and financial data to be processed
• Asset Segmentation: Expertise developing hierarchical asset data segmentation for ongoing operational, engineering, and financial requirements over the asset lifecycle
• Asset Management System: Proficiency using a Computerised Asset Management System such as Mainpac (or equivalent) to interrogate and export selected records
• Financial System: Proficiency to use a computerised financial system such as SAP to identify and group asset expenditures
• Data Processing: Advanced skills working with bulk data using tools such as Excel for data manipulation
• Database: Working knowledge of how data is managed within a database via tables and queries
