​Merlo Group Australia, a wholly owned subsidiary of Merlo S.p.A., is internationally recognized as a leader in the production of telehandling equipment. We are currently seeking a Junior Administrative Assistant to join our Perth office.​

POSITION OVERVIEW;

This dynamic, fast-paced role is situated within a warehouse or dispatch environment and emphasizes teamwork, customer support, and operational efficiency.​

Key Responsibilities:

Answer phone calls and respond to customer inquiries and daily emails.​

Monitor and authorise staff and visitor access to the office.​

Perform general administrative duties, including filing, photocopying, and managing mail distribution.​

Raise purchase orders as requested by the Financial Controller or Branch Managers for approved general orders, such as office supplies and staff amenities.​

Assist warehouse and workshop colleagues with delivery and receipt of goods documentation.​

Dispatch brochures and documents as instructed by managers.​

Act as the first point of contact for office IT issues, liaising between external IT support and staff, and report to the Financial Controller and Branch Managers.​

Manage day-to-day office duties, including building and equipment maintenance, office security, and identifying and reporting issues to the Financial Controller or Branch Manager. Oversee grounds and building maintenance services, such as pest control, rubbish collection, and garden upkeep.​

Serve as the initial contact for workplace safety matters, complete necessary documentation per guidelines, report to the Financial Controller or Manager, act as a first aid officer, and maintain first aid kits and oversee electrical testing and tagging.​

Coordinate and organise sales and aftermarket training sessions.​

Handle banking tasks and visit the post office as required.​

Manage motor vehicle maintenance and registration.​

Assist the Spare Parts department in picking and dispatching parts to dealers during staff absences.​

Provide additional administrative support to team members as needed.​

Assist the accountant with general bookkeeping duties, including:​

Entering vendor invoices into the AX system, ensuring proper approval and price matching.​

Forwarding vendor invoices to Sydney for payment processing.​

Sending invoices and statements to dealers upon request.​

Conducting credit checks and trade references for new dealers.​

Following up on dealer payments as directed by the Financial Controller.​

Maintaining machine files monthly to ensure all required documents are available for internal control and audit purposes.​

Qualifications and Skills:

Experience in administrative assistance.​

Strong phone etiquette and communication skills.​

Proficiency in clerical tasks, including typing, filing, and organizing.​

Competence in MS Office and office management software (e.g., ERP systems).​

Proactive attitude, honesty, and a willingness to assist.​

Excellent time management skills with the ability to prioritize multiple tasks.​

Ability to work independently and collaboratively within a team.​

Exceptional communication and interpersonal skills.​
