Job Summary:
We are seeking a detail-oriented and proactive Accounts and Administration Officer to join our team. The successful candidate will be responsible for managing a wide range of administrative and financial tasks, ensuring smooth day-to-day operations. This role requires strong organizational skills, the ability to multitask, and a keen eye for accuracy in financial transactions.
Key Responsibilities:
Accounting and Finance:
· Manage accounts payable across all companies.
· Handle accounts receivable for FATRA, including:
o Chasing customers for outstanding payments.
o Ensuring accounts are placed on or off hold as necessary.
o Sending receipts to customers daily.
o Processing credit card payments when required.
· Perform bookkeeping for FATRA (all accounts) and SWI (savings account).
· Oversee and verify card transactions, ensuring accuracy and completeness.
· Allocate and send credit notes as required.
· Process payroll on a weekly and monthly basis, including bonuses, in compliance with ATO regulations.
· Lodge superannuation contributions through Xero.
· Check freight costs against all sales and purchases and allocate accordingly.
· Manage BAS and end-of-year accounting submissions.
Administrative Duties:
· Organize catering for training sessions and events.
· Change website sales to the correct sales representative daily.
· Approve FATRA access customers daily in coordination with other team members.
· Book travel and accommodation arrangements as needed.
· Renew contractor licenses and handle vehicle registration and insurance renewals.
· Ensure overseas shipping documentation is correctly filed in Cin7 and Google Drive.
· Verify all sales transactions, ensuring invoices are sent, items are printed, and images are uploaded.
· Confirm purchase deliveries by checking received dockets in Cin7.
· Set up new systems as required to improve efficiency.
· Process leave approvals and entries as necessary.
· Set up new employees with necessary accounts and documentation.
· File all relevant documents accurately and in a timely manner.
General Office Management:
· Answer phone calls and assist with inquiries.
· Open, sort, and action incoming mail.
· Deposit cheques at the bank when necessary.
· Manage office supplies and procurement as required.
Skills and Qualifications:
· Proven experience in accounts and administrative roles.
· Proficiency in accounting software (e.g., Xero, Cin7) and Microsoft Office Suite.
· Strong attention to detail and ability to maintain accuracy in financial transactions.
· Excellent communication and interpersonal skills.
· Ability to work independently and as part of a team.
· Strong problem-solving skills and ability to prioritize tasks effectively.
