Are you an organised and proactive professional with a passion for providing high-level administrative and coordination support in a fast-paced digital environment? Catholic Education Western Australia (CEWA) is seeking a Digital Support Officer to join our Digital Technology team.

As a key support to the Chief Information Officer (CIO), Chief Technology Officer (CTO), and the broader Digital Technology leadership team, you will play a crucial role in ensuring the smooth coordination of administrative functions, stakeholder engagement, and project support.

This is a full time ongoing role based in our West Leederville office.

About the role

  • Provide top-tier administrative support to help maintain smooth operations within the Digital Technology team.
  • Manage calendars, coordinate travel arrangements, and handle multiple competing priorities efficiently.
  • Keep the CIO and CTO well-informed of upcoming tasks and commitments.
  • Foster positive relationships and deliver exceptional service, advice, and information to internal and external stakeholders.
  • Proactively organize and coordinate meetings, events, conferences, and catering.
  • Draft, review, and manage correspondence to both internal and external parties.
  • Assist in preparing reports and presentations for the leadership team.
  • Oversee the onboarding and offboarding processes for contractors, ensuring compliance.
  • Collaborate with stakeholders on team-related financial activities such as invoices, quotes, credit card audits, contracts, and agreements.
  • Organize leadership meetings, including agenda preparation, minute-taking, and action follow-ups.
  • Coordinate team-building activities, training sessions, and professional development initiatives.
  • Handle sensitive and confidential communications with discretion and in a timely manner.

Key Skills and Experience

  • Willingness to support and promote the Catholic ethos in all aspects of work.
  • Proven experience in a Personal or Executive Assistant role.
  • Proficient with Microsoft SharePoint, Teams, and Forms.
  • Knowledge of accounts payable and reconciliation processes.
  • Demonstrated ability to provide high-quality customer service and a commitment to excellence.
  • Strong troubleshooting skills and problem-solving abilities.
  • Highly organized, efficient, and proactive with a strong work ethic.
  • Ability to prioritize and meet deadlines while handling multiple tasks.
  • Exceptional communication skills (both written and verbal) with the ability to liaise effectively with senior managers.
  • Attention to detail and a strong sense of accountability.
  • Ability to handle confidential matters with discretion and trust.
  • Comfortable working both independently and collaboratively as part of a team.
