About the role:

We’re seeking an Operation Officer who will be pivotal in ensuring smooth day-to-day operations while upholding our regulatory, safety, and security obligations. You will oversee office management, security processes, quality systems (ISO 9001), safety protocols, ITAR compliance, and export control administration. You don’t have to be an expert in any of these areas, as long as you are motivated to learn.

This is a dynamic role for a detail-oriented professional who can blend operational oversight with a deep understanding of compliance in a defence-adjacent environment.

About you:

Super organized with a passion for creating efficient, well-oiled operations.

Enthusiastic about maintaining clear policies and procedures to support a safe and productive workplace.

Strong communication skills, with the ability to train and inform employees about safety, security, and office protocols.

Able to obtain Security Clearance (Australian citizen, able to provide a comprehensive background check)

Key responsibilities:

Lead and manage all aspects of office operations, ensuring a clean, organized, and well-resourced environment that supports high productivity and team well-being.

Develop, implement, and maintain an ISO 9001-compliant Quality Management System, ensuring alignment with company processes, facilitating audits, and driving continuous improvement across departments.

Implement and oversee physical and personnel security measures, including access control, visitor protocols, and security risk mitigation strategies in compliance with Defence-related standards.

Act as the company’s Safety Officer, maintaining compliance with WHS/OHS standards through proactive safety audits, emergency preparedness, and continuous staff training initiatives.

Administer and ensure compliance with ITAR regulations and Export Control policies, managing licensing, documentation, and secure data and product transfer processes across jurisdictions.

Your experience and skills:

Proven experience in office or operations management in a highly regulated or Defence-related sector.

Strong organizational and communication skills with the ability to translate policies into practice.

A proactive mindset with the ability to balance strategic planning and operational execution.

Experience in safety, risk, and/or security management is a significant plus.

Familiarity with ITAR regulations, export compliance, and ISO 9001 systems.
