Position Overview:
We are looking for a dedicated Document Processing & Administration Officer to manage the preparation, processing, and dispatch of key client documents related to SMSF setups and property-related structures. This role is pivotal in ensuring compliance and delivering exceptional client service through adherence to defined procedures and maintaining data integrity.
Key Responsibilities:
Document Preparation & Processing:
Prepare and submit applications for SMSFs and Bare Trusts using our document provider, ensuring all data aligns with client-provided information.
Collate and draft documents based on set templates and procedures.
Update documents with lender details and trustee information.
Handle both digital and hard copy document formats for execution and storage.
Document Management & Dispatch:
Send SMSF documents for signing.
Print, bind, and dispatch hard copy documents via Australia Post’sl.
Monitor document status using our CRM and maintain file organisation.
Administrative Support:
Assist with general administrative tasks during periods of lower document processing volume.
Requirements:
Proven experience in an administrative role, preferably within financial services or legal environments.
Strong attention to detail and ability to follow complex procedures.
Excellent communication skills, both written and verbal.
Hugh level computing proficiency and proficiency in using cloud-based tools and task management platforms like Monday.com.
Ability to prioritise tasks and manage multiple responsibilities efficiently.
Discretion and professionalism in handling sensitive client information.
Positive attitude, adaptability, and a willingness to learn and grow within the role.
Collaborative team player who can work effectively with colleagues and independently when required.
