A chartered accounting firm specialising in advisory and compliance services within tax, accounting and audit. Based in the heart of the Sydney CBD, this mid-sized firm is looking for an experienced EA with ASIC/ATO experience to join on a permanent basis.
Your new role
- Manage the diary of the Directors, including accepting, declining, or reassigning meeting requests, and liaising with internal and external parties as necessary.
- Arrange meetings on behalf of the Directors with clients.
- Handle filing, preparation, collation, and distribution of supportive documentation, notes, and correspondence to employees and clients, ensuring confidential documents remain secure.
- Oversee the billing process and manage debtors.
- Develop and maintain efficient documentation and filing systems in both hard and soft copies.
- Answer telephone calls and emails in a professional and polite manner on behalf of the Directors and team, redirecting queries or taking messages as necessary.
- Advise the Directors of matters requiring personal attention, with associated deadlines, and prepare relevant documentation.
- Produce presentations, briefs, memos, and other necessary documentation as required by the Directors.
- Organise office stationery and re-stock monthly or as necessary.
- Serve as the point of contact for maintenance, mailing, equipment, bills, and general errands.
- Office Operations:
Manage the day-to-day operations of the office and maintain relationships with the serviced office management. - Manage relationships with vendors, service providers, and the landlord, ensuring all items are invoiced and paid on time.
- Manage contract and price negotiations with office vendors and service providers.
- Arrange domestic and international travel, accommodation, and cars for the Directors and team, in accordance with Company policy.
- Ensure the Directors' expense reports are completed by the cut-off date to arrange prompt reimbursement.
- Assist in the writing and maintenance of Company Policies and Procedures.
Provide assistance in respect of the Family Office Division of the Company and group.
Maintain the CRM system with updated client details.
Coordinate and manage client and staff events.
What you'll need to succeed
- Must have strong attention to detail
- Strong communication and organisational skills
- At least 3-5 years' experience in a similar role
- Must have ASIC/ATO experience
