Position Overview:

The Receptionist is responsible for attending to all visitors and dealing with initial enquiries on the telephone and face to face. The position is also responsible for providing clerical and administrative support in order to ensure that services internally and externally are provided in an effective and efficient manner.

This position works closely with Aboriginal and Torres Strait Islander Queenslanders and requires exceptional cultural competency. Please see Our Organisation Overview below.

Key Responsibilities:

In this role, you will be required to:

Provide receptionist services including,

Customer facing front desk, greet all visitors

Receive, direct and relay telephone messages and enquiries

Maintain internal staff phone list

Daily mail distribution

Arrange all courier deliveries

Maintain mail registers

Provide general administrative support to QAIHC staff including, photocopying, compilation of materials/folders and preparation for conferences.

Perform general word processing duties including typing letters, agendas, minutes and reports as required.

Assist with arranging meeting venues, conferences, catering as required.

Assist with travel and accommodation bookings and payments as required.

Maintain office inventory of office supplies, and general purchase requirements.

Maintain the general filing system and register.

Other duties as directed.

Competencies

Solid administration skills with competence in Microsoft suites;

Good telephone and customer service skills;

Punctual with attention to detail;

Pride in personal presentation;

Good relationship skills and a positive demeanour.

Pre-requisite Skills & Experience

Ability to communicate effectively with all clients and staff at QAIHC;

Excellent communication skills, both written and verbal;

Ability to listen attentively and seek to understand others’ needs by asking questions and clarifying;

Have attention to detail;

Demonstrated experience in handling a wide range of administrative and support related tasks, with the ability to work proactively;

Current, unrestricted C class driver license is desirable.

Our members deliver comprehensive and culturally appropriate, world class primary health care services to their communities.

QAIHC was established in 1990. Our vision is the elimination of disparities in health and wellbeing experienced by Aboriginal and Torres Strait Islander peoples in Queensland. QAIHC contributes to this vision by leading the development of the Aboriginal and Torres Strait Islander Community Controlled Health Sector in Queensland through evidence based, practical public policy solutions.

Sector Development Overview

The Sector Development business division of QAIHC works closely with the sector to lead and build the organisational capacity and capability of our members. Our four sector development focus areas cover the risks and opportunities that impact on the Aboriginal and Torres Strait Islander Community Controlled Health Sector in Queensland. We develop the sector through leadership development, education, workforce planning, a Continuous Quality Improvement framework (quality standards and quality management) and through the promotion of a socially equitable funding model and system.

Policy, Advocacy, Leadership & Strategy (PALS) Overview

The Policy and Research business division of QAIHC is responsible for developing high quality public policy, submissions and publications that influence change. Our four policy focus areas (primary health care, health service systems, health funding and health workforce) cover the risks and opportunities that impact on the Aboriginal and Torres Strait Islander Community Controlled Health Sector in Queensland. This division of QAIHC is also responsible for ensuring that health service leaders in Queensland have an opportunity to contribute directly to the development of public policy and for establishing quality, long term relationships with external partners who want to contribute to the work QAIHC undertakes.

Population and Public Health Overview

The Population and Public health division of QAIHC provides public health and clinical advice and support, and policy analyses consistent with current best or evidence-based practice to member services and relevant QAIHC programs across other Divisions. Support is given for continuing quality improvement, epidemiology and data analysis, disease prevention, health promotion, position statements and submissions, including public health physician training. Member engagement is though the QAIHC Clinical Leaders Forum.

Corporate Services Overview

The Corporate Services business division of QAIHC provides high level entity-wide administrative and operational support to all QAIHC. This support includes financial, facility and information and communication technology (ICT) systems and process management. The Corporate Services business division is responsible for human resource support services, procurement and the marketing and communication functions of QAIHC.
