We are currently seeking a highly organized and detail-oriented Accounts and Administration Assistant to join our team. This position involves managing a variety of accounts, administrative tasks, and supporting project management and office operations. The ideal candidate will have a strong understanding of accounting processes, attention to detail, and the ability to work in a fast-paced environment.
Key Responsibilities:
Email Management:
Regularly check the accounts email inbox and allocate emails to appropriate folders.
Review, allocate, and save invoices to the relevant project folders.
Print all invoices and statements received via email.
Accounts and Payments:
Enter all received invoices into MYOB and ensure accuracy.
Process payments and manage supplier and subcontractor payments.
Regularly create and update the Aged Payables sheet, ensuring timely tracking and reconciliation.
Confirm that MYOB and supplier statements match, resolving any discrepancies as needed.
Reconcile bank accounts and manage bank fees in MYOB.
Invoice Confirmation and Approval:
Email invoices to Project Managers and Foremen for confirmation and approval.
Follow up with Project Managers and Foremen to obtain approvals for invoices.
Maintain a record of approved and pending invoices, ensuring all are appropriately tracked.
Ensure that only confirmed invoices are processed for payment.
Supporting Project and Financial Sheets:
Assist in updating the Income Sheet.
Regularly update Claim Sheets.
Regularly update the Subcontractor Payments Sheet to reflect accurate data.
Assist with the creation and update of the Bank Statements Sheet.
Other/Misc:
Manage workers’ garments, including obtaining quotes, placing orders, and following up on deliveries.
Oversee company vehicle management, including registration, tolls, insurance, and parking.
Assist with visa processes for employees within the company.
Provide administrative support to other team members as required, particularly in accounts and office administration tasks.
Skills and Qualifications:
Proven experience in an accounting or administrative role, preferably in a similar industry.
Strong working knowledge of MYOB.
Excellent organizational skills and attention to detail.
Ability to manage multiple tasks and meet deadlines.
Strong communication skills and ability to collaborate with various teams.
Experience with managing supplier payments, subcontractor sheets, and aged payables.
Ability to maintain confidentiality and handle sensitive information.
