About the Role
We are seeking a highly organised and proactive Personal Assistant to support our CEO and Executive team while also contributing to marketing efforts, general administration, and project coordination for the team. This dynamic role is ideal for someone who thrives in a fast-paced environment, enjoys working across different functions, and has a passion for both organisation and brand-building.
Key Responsibilities
1. Personal Assistant & Administrative Support
Act as a key support to the CEO and occasionally our Exec team, managing schedules, emails, phone and meeting preparation.
Organise and coordinate team meetings, take minutes, and ensure action items are followed up.
Assists in managing sale calls, meetings including in the creation of proposals & scope of works
Handle confidential information with discretion and professionalism.
Oversee day-to-day office operations, ensuring a smooth and productive work environment.
2. General Administration & Office Management
Ensure the office is well-maintained, organised, and fully functional.
Oversee office supplies, ordering stock as needed (stationery, kitchen supplies, tech equipment).
Support HR with onboarding new employees, including IT setup and workspace preparation.
Plan and execute Process team events, including internal celebrations, training sessions, and social gatherings.
Maintain internal documentation and processes to ensure efficient operations.
3. Marketing Coordination & Communications
Serve as the internal point of contact for all marketing-related activities, liaising between the team and our external marketing agency.
Ensure marketing requests, feedback, and priorities are communicated between internal stakeholders and the external agency.
Track marketing deliverables, approvals, and deadlines to ensure alignment with business goals.
Provide basic admin support for marketing activities such as organising assets, scheduling meetings, and consolidating reports.
Organise external events, such as industry events, networking functions, and partner co-branded events.
Handle logistics such as venue booking, catering, guest management, and event materials.
Work with the external marketing team on branding, promotions, and communications for events.
4. Project Coordination Support
Support project managers by assisting with administration tasks, such as ticket input & allocation
Coordinate with cross-functional teams to ensure tasks are completed on time.
Provide administrative support for client communications and follow-ups.
What We're Looking For
Experience: 2+ years in a similar role, ideally in marketing, admin, or project coordination.
Tech-Savvy: Comfortable using tools like Google Workspace, Slack, Productive, HubSpot and marketing platforms like Klaviyo.
Organised & Detail-Oriented: Able to manage multiple tasks, prioritise effectively, and maintain high accuracy.
Strong Communicator: Excellent written and verbal communication skills with a professional approach.
Creative Thinker: Someone who enjoys contributing to marketing initiatives and has an eye for detail.
Proactive & Self-Motivated: Can anticipate needs, solve problems efficiently, and work independently.
E-Commerce Experience: would be amazing.
