The Role
We are seeking a proactive and highly organised Executive Support Officer to support the Managing Director, Operations Manager, and wider team at DGE Electrical Services. This role is central to ensuring the smooth day-to-day running of the business and offers exposure across multiple areas including executive assistance, financial and project administration, social media management, and ISO compliance.
You will manage confidential communications, coordinate meetings and tender submissions, assist the construction and estimation teams with project support, and oversee various office and team administration tasks. As a key point of contact, you will play an essential role in maintaining professionalism and efficiency across the company while supporting leadership and ensuring seamless business operations.
Key Responsibilities:
Executive & Confidential Support
- Manage Directors' inbox, calendars, and confidential communications.
- Coordinate meetings, draft correspondence, and support leadership with HR and sensitive matters.
Financial Administration
- Manage accounts inbox and assist with invoicing, payments, reconciliations, and financial reports.
- Liaise with accountants and bookkeepers.
Project & Tender Administration
- Manage project and tender correspondence.
- Support estimation, engineering, and construction teams with document control, RFQs, RFIs, and tenders.
- Track projects and assist with client communications.
Sales, Social Media & Marketing
- Manage DGE’s LinkedIn and social media accounts.
- Draft and post content, track engagement, and prepare reports.
- Conduct cold calls to builders and developers to promote DGE’s services.
Office & Team Support
- Oversee daily office administration, team support, and event coordination.
- Manage supplies, office presentation, and cleaning services.
Meetings & Action Tracking
- Record meeting minutes and follow up on action items to ensure timely completion.
Construction Team Support
- Assist with scheduling, document management, claims, supplier communications, and compliance checks.
ISO Certification & Compliance
- Manage ISO documentation and processes.
- Ensure company policies and procedures are up to date and support audit preparation.
Qualifications & Experience
- Minimum 3-5 years' experience in Executive Assistant, Office Manager, or Administrative roles.
- Financial administration experience (preferred within construction, engineering, or services industries).
- Strong skills in Microsoft Office, Xero (or similar accounting software), CRM systems.
- Sales, LinkedIn and social media content management experience (advantageous).
- Tender writing or document preparation experience (advantageous).
- Excellent written and verbal communication and interpersonal skills.
