On behalf of our client, within the Insurance industry, we are seeking an experienced Executive Assistant to support one of the Group Executives for a 9-month maternity leave contract. As the Executive Assistant to the Group Executive, you will be the central point of contact for both internal and external stakeholders, ensuring the smooth running of day-to-day operations. You will be instrumental in supporting the Executive’s priorities by managing their calendar, correspondence, meetings, and travel arrangements. Your proactive approach will allow the Group Executive to focus on strategic decision-making, knowing that you have all the operational details under control. With the Group Executive being your main priority, you will also provide a smaller level of support to 3 of their direct reports. Key Responsibilities:
- Provide high-level administrative and organizational support to the Group Executive, ensuring their calendar is well-managed and all meetings and events are scheduled efficiently.
- Act as the first point of contact for internal and external communications, managing incoming calls, emails, and correspondence. Prepare timely, professional responses when required.
- Arrange domestic and international travel logistics, including flights, accommodation, itineraries, and transportation. Coordinate key events, meetings, and conferences to ensure everything runs smoothly.
- Draft, proofread, and review documents such as reports, presentations, and other materials for meetings. Ensure that all documents are clear, accurate, and align with the Group Executive's expectations.
- Provide ad-hoc project support to the Group Executive, assisting with strategic initiatives, preparing reports, and tracking progress.
- Coordinate and build relationships with key internal and external stakeholders, ensuring timely follow-ups and prioritizing requests according to urgency and importance.
- Handle sensitive and confidential information with the utmost professionalism and discretion.
You will need at least 5 years of experience in an executive assistant or senior administrative role, preferably supporting C-suite executives or senior leadership teams.
Exceptional organisational skills, with the ability to manage competing priorities and deadlines in a fast-paced environment. Strong written and verbal communication skills are a must, with the ability to communicate effectively with stakeholders at all levels. Strong attention to detail and accuracy in all tasks, whether arranging meetings, preparing documents, or managing communications as well as a high level of professionalism and discretion, especially when handling confidential information.
