Job Title: Scheduling Coordinator

Salary: $70,000 per annum, plus superannuation

Job Summary:

We are seeking a highly organised and detail-oriented Scheduler/Rostering Officer to join our team. In this role, you will be responsible for coordinating and managing support worker and mentor schedules, ensuring optimal shift coverage for both permanent and temporary placements. You will work closely with other departments to balance staff availability, participant needs, and business requirements while maintaining compliance with labour regulations and NDIS standards. Your ability to problem-solve, prioritise tasks, and adapt to changing circumstances will be key to ensuring seamless service delivery and workforce efficiency.

Key Responsibilities:

  • Match new and existing clients with suitable Mentors based on client needs, mentor availability, location, and other relevant factors.
  • Schedule and coordinate employee shifts to ensure optimal care, consistency, and service continuity for clients.
  • Proactively monitor and manage schedules, responding efficiently to absences and cancellations while effectively communicating changes to both staff and clients.
  • Collaborate with service coordinators and other departments to assess staffing requirements and adapt scheduling as needed.
  • Maintain accurate and up-to-date records of employee availability, leave requests, and shift adjustments.
  • Review and approve timesheets while ensuring mentor compliance with case note documentation, travel logs, and other reporting requirements.
  • Leverage scheduling software and tools to optimise roster management and enhance operational efficiency.
  • Handle and resolve scheduling inquiries from both staff and clients with professionalism and promptness.
  • Ensure compliance with labour laws, company policies, and employment contracts related to scheduling and working hours.
  • Analyse scheduling data to identify trends, improve workforce planning, and enhance service delivery.
  • Actively participate in team meetings and contribute to continuous improvement initiatives.

About You:

  • Ability to efficiently coordinate and adjust schedules to meet client needs, ensuring timely service delivery and workforce optimisation.
  • Exceptional communication and interpersonal skills, fostering teamwork, collaboration, and positive client engagement.
  • A commitment to delivering outstanding customer service, including professional telephone etiquette, active listening, and clear, courteous communication with clients and colleagues.
  • Strong problem-solving abilities, maintaining professionalism, patience, and efficiency under pressure.
  • Excellent organizational skills, with the ability to multitask, prioritize workloads, and manage time effectively.
  • High attention to detail and accuracy, ensuring quality and reliability in all tasks.
  • Proven experience in administration, scheduling, rostering, or workforce management, preferably within the NDIS or Aged Care sectors.
  • Proficiency in scheduling software and tools such as ShiftCare is highly desirable.
  • Knowledge of labour laws and regulations relevant to support workers is advantageous.
