Key 2 Learning College seeks an Assistant Administration/Receptionist to assist with the growing number of inquiries, customer service and general administration tasks.
Duties will include, but are not limited to:
- Operational and Training – Data entry, Update, and monitor Canvas – Key 2 Learning College Learning Management System, and other relevant materials for vocational courses. Aid the CEO, Course Coordinator, trainers, and training participants during the training program. Maintain training records. Create and maintain electronic student files and student records in Key 2 Learning College Student Management System (Job Ready). Organise enrolments, provide certificates and enter records in student files making sure they comply with policies and procedures.
- Reporting - Prepare training data and upload to the relevant State Training Authority to generate Government payments and produce activity reports as required.
- Administration - Liaise effectively with internal and external stakeholders to develop and maintain professional relationships. General administrative duties such as scanning, photocopying and resolving issues as they arise. Housekeeping and set up for training rooms.
- Reception - Answering phone calls, managing inquiries and greeting stakeholders.
- Financial - Generate invoices in the K2LC Accounting System and distribute to clients and follow up on outstanding invoices accordingly. Monitor payments from State Training Authorities. Reconciles expenses incurred and payments received.
Essential Skills and Attributes:
- Experience working in a Registered Training Organisation (RTO)
- Have a “can do” attitude
- Demonstrates initiative and problem-solving aptitude
- Proficient user of technology, including the Microsoft Office Suite programs
- Exceptional organisational skills
- Excellent written and verbal communication skills, particularly telephone skills.
- Strong customer service and interpersonal skills
- Cert III in Business (desired)
- Cert in Finance or Accounting
- Team player and can work independently
