Windowline (QLD) are currently seeking an experienced and enthusiastic administration/accounts assistant able to provide administrative support for the continued growth of our Window and Door replacement business. This role requires an individual with strong attention to detail. You must be available Monday to Friday between 7.30am – 4pm.
As the company’s first point of contact with existing and potential clients, we are seeking someone with an enthusiastic telephone manner, good general office experience and excellent computer skills, experience in Excel, Xero and Salesforce would be highly regarded. You will have the ability to ensure time management is maintained while supporting and understanding other team member’s requirements as well as the day-to-day Admin.
Key Responsibilities:
- Administrative duties day to day
- Email inbox and calendar management
- Entering new enquiries into our project management system Salesforce
- Maintaining and updating jobs in our project management system Salesforce
- Preparation of contracts and tenders for our projects
- Accounts Payable & Accounts Receivable
- Timely and accurate Xero & Salesforce data entry
- Payroll assistance with timesheets and entry into spreadsheets
- General Ledger maintenance including credit card, fuel cards and invoice reconciliations
- Electronic file management
- Create and update spreadsheets as required
- Compliance with company policies and procedures
- Updating and maintaining accurate procedures and internal quality control of processes
- Management of various administrative projects that arise
- Update our google posts and website
- Provide administrative support to management
- Ad-hoc duties including preparing and drafting letters and documents as well as updating and maintaining existing systems
- Keen eye for detail in all areas of work
Successful candidates will have:
- High level of computer literacy in Microsoft Office Suite
- High level of Excel is highly desirable
- Very high level of accuracy and attention to detail
- Excellent organisational, planning and time management skills
- Self-starter with the ability to multi-task who can prioritise as necessary
- Experience with Xero or accounting would be highly regarded
- If you have a bookkeeping experience, it would also be highly regarded
- Experience with Salesforce would be highly desirable
- An interest in IT would be highly regarded
- Strong work ethic
- Ability to work unsupervised and work autonomously
- Self-motivated
- Punctual
