Job Summary:
The Office Administrator will oversee day-to-day office operations, ensuring the office environment runs smoothly and efficiently. You will provide administrative support to the team, coordinate schedules, and assist with various office tasks. This is an excellent opportunity for someone with strong organisational skills and the ability to thrive in a fast-paced environment.
Key Responsibilities:
- Manage office communications including answering phone calls, responding to emails, and directing inquiries to the appropriate team members.
- Maintain office filing systems (physical and electronic) to ensure proper document management.
- Order and manage office supplies, ensuring availability of essential materials.
- Assist in the onboarding process for new employees & projects
- Track attendance, manage employee leave requests, and maintain up-to-date employee records.
- Coordinate office maintenance and liaise with vendors for services.
- Assist with processing invoices and supporting budget tracking.
- Provide general administrative support to various departments as needed.
- Handle confidential information with discretion.
- Data entry and maintaining spreadsheets
- Accounts Receivable / Payable tasks
Qualifications:
- 3+ years of experience in an office administration or administrative support role preferred.
- Ability to identify issues and resolve them independently
- Strong organisational and multitasking skills with the ability to prioritise tasks effectively.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
- Ability to work independently and as part of a team.
- Strong attention to detail and ability to maintain accuracy in a fast-paced environment.
- High understanding of office procedures
- Xero Experience - Preferred although not essential
