As our Executive Services Coordinator you will:

  • Provide support in the collation and preparation of documents internally, externally and nationally, including research, analysis and preparation of briefing notes, submissions and responses on behalf of, and for use by, the Executive Program Director, in line with established priorities.
  • Draft clear, concise, high-quality documents (including but not limited to submissions, proposals, reports, information sheets, communiques, meeting minutes) designed to support clear and consistent communication in ways appropriate to each reading audience.
  • Provide high level confidential executive administrative support to the Executive Program Director including organising meetings, monitoring and maintenance of calendar and shared inbox.
  • Prepare correspondence, undertake research and input into briefings, reports and project teams as required.
  • Provide support for meetings chaired by the Executive Program Director including preparing agendas, papers and minutes, prioritising correspondence, and responding to outstanding queries and requests for information.
  • Coordinate requests for agency briefing notes, correspondence, speeches for meetings, briefings and forums for the Executive Program Director.
  • Maintain appropriate information and corporate documents and recordkeeping systems for the office.
  • Participate as an effective team member of the Office of the Executive Program Director and undertake a variety of work tasks and professional activities as required.
  • Provide secretariat and project support to the Executive Program Director and Executive Officer.
  • Liaise and communicate effectively (written and oral) with high level senior executives, departmental offices and external stakeholders.
  • Promote an accountable, fair and safe work environment through the implementation of management and training practices and policies, including performance management, equal opportunity and workplace health and safety.
