Position Overview: We are seeking a proactive and organized Sales Support Coordinator to join our team. This role is crucial in ensuring smooth day-to-day operations by managing orders, coordinating transport, supporting the sales team, and assisting with basic marketing tasks. The ideal candidate will have strong multitasking skills and a customer-focused mindset.
Key Responsibilities:
Order Management:
- Receive incoming orders via phone, email, and online platforms.
- Accurately process orders into the system, ensuring all details are correct.
- Prepare orders for dispatch and ensure all necessary paperwork is complete.
Logistics Coordination:
- Arrange and coordinate transport for timely delivery of orders.
- Maintain communication with drivers and delivery partners to track order status.
- Resolve any delivery issues or delays efficiently.
Invoicing & Payments:
- Generate and issue invoices promptly.
- Track outstanding payments and follow up with clients as needed.
- Process incoming payments and maintain accurate financial records.
Customer Support:
- Answer incoming calls and assist with customer inquiries.
- Forward calls to the appropriate team members when necessary.
- Provide basic product and service information to clients.
Sales Support:
- Assist the sales team by preparing quotes, handling paperwork, and maintaining client records.
- Support follow-up communications to ensure customer satisfaction.
Marketing Assistance:
- Support the marketing team with basic tasks such as updating social media accounts, preparing promotional materials, or coordinating campaigns.
General Administration:
- Maintain organized records of all transactions and communications.
- Assist with other administrative tasks as required.
Key Skills & Qualifications:
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Experience in order processing, logistics coordination, or customer service is preferred.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and experience with CRM or ERP systems is advantageous.
- A proactive attitude with strong problem-solving skills.
- Ability to work independently and as part of a team.
