Position Title: Administration Support Officer
Classification: Level 4, SCHADS Award
Location: Tasmania – flexible
Duration: Fixed-term contract to 30 June 2026 (potential for extension subject to funding).
Hours of work: 0.6 FTE by agreement with the successful candidate. This may be 3 days per week, or 5 days per week during school hours, for example.

The Tasmanian Family and Sexual Violence Alliance (the Alliance) is lutruwita/Tasmania’s new peak body for victim-survivors and family and sexual violence services. Its primary purpose is to provide a coordinated and strategic response to family violence, sexual violence, and child sexual abuse within the state. The Alliance aims to transform the culture and systems that perpetuate gender inequality and violence, striving to create a place where all people experience safety, dignity, and agency.

Summary of Position Purpose

The Alliance is seeking to appoint an Administration Support Officer to provide administrative and operational support to the CEO, Sector Engagement Officer, and members of the board. This role is integral to the smooth functioning of the Alliance, assisting with the coordination of meetings, events, communications, and sector-focused projects. The Administration Support Officer will play a key role in ensuring the efficient management of schedules, documentation, and stakeholder engagement, while also supporting the development of systems that enhance operational efficiency.

This position involves a mix of day-to-day administrative tasks and the coordination of key projects aimed at strengthening the Alliance’s impact in addressing family and sexual violence in lutruwita/Tasmania. With a focus on high-level organisational support, the Administration Support Officer will help the leadership team to meet deadlines, engage with stakeholders, and contribute to the development of initiatives that support the Alliance’s mission. This role is critical in fostering internal collaboration and ensuring the timely and effective delivery of projects and services.

The role can be located anywhere within Tasmania; it is anticipated that the Alliance will establish an office in the near-term. The successful candidate may work flexibly from home by mutual agreement with the Chief Executive Officer.

Key Responsibilities/TasksAdministrative and Executive Support

  • Answer calls and manage email inquiries.
  • Provide diary management for the CEO and Sector Engagement Officer, and coordinating meetings involving board members.
  • Finalise board minutes (meetings are recorded and AI is used to summarise decisions, requiring final review and finalisation) and assist with preparation of agendas and meeting documentation (the Alliance uses Our Cat Herder to prepare and store board papers).
  • Format documents and reports, applying Alliance branding and style guide.
  • Process and code invoices for payment.

Project, Event Coordination, and Communication Support

  • Support the CEO and Sector Engagement Officer in the delivery of projects.
  • Assist in planning and delivering events, managing logistics and guest lists.
  • Publish news updates and manage digital communications.

Research and System Improvement

  • Conduct research for organisational needs (e.g., grants and policy submissions).
  • Monitor and evaluate sector initiatives for reporting.
  • Assist in developing administrative systems for efficiency.

Selection Criteria – Essential

  • Demonstrated ability to manage detail-oriented tasks such as diary co-ordination and scheduling meetings.
  • Demonstrated experience in coordinating projects or events, including logistics and stakeholder management.
  • Strong research skills, attention to detail and the demonstrated ability to work collaboratively with internal and external stakeholders.
  • Proficient in Microsoft 365 and be willing to trial and implement technology solutions to assist with operational efficiency.
  • Excellent written and verbal communication. A demonstrated ability to manage sensitive information and work independently.
  • Strong attention to detail and ability to manage multiple tasks and deadlines.
  • A commitment to working in alignment with the values of the Alliance.

Selection Criteria - Desirable

  • Qualifications in a relevant field and/or experience in a similar organisation, sector or role.

Other Requirements

  • Ability to hold Working With Vulnerable People registration
  • Consent for a police check and National Personal Insolvency Index Check to be sought if a preferred candidate.
