About the Position:

APSBO (Asia Pacific Business Service Organisation) is responsible for identifying, evaluating and determining new opportunities within the digital media and advertising industry with the goal of creating scalable services and businesses on top of the global footprint of Samsung Smart TVs. The APAC advertising team is working to create value for partners, advertisers, and agencies through its unique insights into TV viewership in the shifting media landscape.

The Senior Operations Specialist will report directly to the Head of Operations based in Sydney. He / she will work closely across Sales, Ad Operations, Business Development, Marketing, other regional Fin & Biz Ops teams, Headquarters, subsidiary Finance Teams, HR, Legal and procurement teams to ensure a full end-to-end financial and operational support on all aspects of the business. This role will support Australia and NZ, as well as SE Asia.

Role and Responsibilities

Essential Duties & Responsibilities:

Customer Onboarding and Management

  • Lead the customer onboarding process including generation of customer onboarding pack, liaise with customer for required information, and prepare submission documentation to relevant subsidiary for setup, and ensure the turnaround of deliverables are completed within agreed SLAs
  • Update and manage salesforce cases that relate to new customer account set up requests
  • Lead all workflow approvals for new customer accounts, IO intake, pricing and new/updated customer credit limit
  • Ensure the process documentation and communication templates are up to date and maintained in Confluence.

IO Approval

  • Lead and manage IO approvals across the APSBO business, ensuring approval turnaround times are within agreed SLAs
  • Liaise with the Business Operations Manager to devise resolutions for any abnormalities
  • Maintain documentation related to the IO approval process, ensuring it is complete and up-to-date

Customer Invoicing

  • Lead and complete the monthly invoicing process through Sales Portal / NERP, including relevant approvals
  • Develop, prepare and/or maintain documentation pertaining to business processes, systems operation, billing and other operational processes – continuously updating our knowledge management database

Debtor Management

  • Lead the debtor collection process and collaborate with the AR team, customer payable teams and / or sales teams, as needed, to resolve and collect outstanding or overdue payments
  • Weekly reporting on aged debtors and track outstanding payments, including escalation / issue management
  • Work with the AR team to resolve credit limit insufficiency or blocked accounts

Programmatic and Self-Serve Revenue

  • Lead the end-to-end monthly programmatic and self-serve revenue actualisation process, including data extraction from SSPs, verification and creation of deals, and data reconciliation
  • Investigate and resolve any variances identified
  • Ensure the programmatic month-end checklist is completed and the documentation of the programmatic revenue actualisation process in Confluence is up-to-date

Vendor Onboarding and Management

  • Lead the monthly generation of content partner revenue share and TV Plus reporting locally and within other regions as required
  • Onboard new vendors (VERS), set up in Tradeshift, and manage the contractual / commercial process in ECMS
  • Provision of reporting obligations to commercial partners and vendors
  • Management of content partner business development investment, including reporting and processing required approvals for payment

Travel & Entertainment (T&E) / General Expenses:

  • Develop and maintain documentation including standard operating procedures, policies and presentations in line with subsidiary guidelines
  • Champion the full travel and entertainment process, including providing the first level of support for wider team across all approvals, procedures, compliance and escalation process for expense reimbursement, and PUMI approvals
  • Run the monthly T&E report that identifies compliance to policies across the team
  • Manage the credit card process and onboarding / credit limit for APSBO team
  • Manage the T&E submission process for the Head of Operations, as well as MD and VP as required

Processes and Policies Documentation:

  • Ensure documentation of processes and policies in Confluence are up to date for both SESP and SEAU subsidiaries
  • Continued improvements on APSBO Confluence pages, including restructuring of Operations team pages for better user readability (e.g. indexation, sub-headings etc.)

Reporting / Insights / Other

  • Work with the Finance Accounting Manager to ensure timely reporting on revenue generation, billing report generation or other reports as required
  • Support the Financial Accounting Manager in relation to month-end, quarter-end and year-end tasks, including expense analysis and management
  • Own and maintain the gross margin tracker and the revenue share payout tracker, and report any abnormalities to the Finance Operations Manager
  • Prepare the weekly and monthly TBCR analysis, distribute it to HQ and senior management, and report any insights to the Senior Operations Lead and Head of Operations
  • Interface with internal teams to manage the transition to new systems as required, becoming the key subject matter expert for all SAP, Knox, PUMI and finance related activities
  • Manage and maintain relationships with internal accounts teams, ensuring the turnaround of deliverables are completed within agreed SLAs
  • Assist with business and finance operations as needed, including preparing ad-hoc analysis and obtaining approvals for invoices and expenses
  • Oversight and prioritisation as well as processing commercial submissions (with local procurement and legal teams) as well as updating required submissions and internal reporting systems
  • Provide advice on procurement approvals, expense management and cost approvals for office related items

Skills and Qualifications

Background/Experience Required:

  • Over 6 years of business experience, in operations and / or operational finance roles, preferably some part of time in the digital media industry
  • Bachelor’s degree in Business, Advertising, Marketing, Finance, or a related field
  • Qualified CPA /CA or studying towards
  • Bilingual English and Korean, a plus
  • Understanding of the current media landscape, with knowledge of Australia’s digital and CTV advertising space
  • Strong MS Office skills, including Excel, PowerPoint, Access etc. Intermediary to advanced Excel skills as mandatory
  • Mandatory working experience with SAP
  • Salesforce experience preferred
  • Must be outcome driven & have the ability to produce and hit key deliverable deadlines in a fast-paced environment
  • Ability to manage and work effectively within cross-functional and matrix relationships, with strong communication and interpersonal skills
  • A critical and strategic thinker with strong attention to detail, the ability to multitask and strong organisational skills
