Are you looking to make a meaningful impact in a dynamic and growing environment? We’re seeking a proactive and detail-oriented Fleet and Facilities Administration Officer to join our team. This is an exciting opportunity for someone with a passion for Fleet Management Support, Property and Facilities Management or Body Corporate experience and Administrative Duties to thrive and grow within a supportive and collaborative workplace.
Key Responsibilities and Accountabilities
Fleet Management Support
- Assist with the administration of vehicle maintenance schedules, including organising regular servicing, repairs, and inspections and schedule bookings into Maintenance Officers calendars
- Maintain accurate and up-to-date records for the fleet, including insurance, registration, and maintenance logs
- Coordinate with internal departments to ensure vehicle availability and efficient use of all fleet
- Help process vehicle-related paperwork such as registration renewals, insurance claims, and vehicle transfers
Facilities Management support
- Monitor Cleaner and Facilities email Inbox ensuring all task notes are updated and accurate
- Create Quote requests, follow up quotes, create purchase orders, confirm works are complete and approve Accounts Tax Invoices
- Provide administrative support for the day-to-day operations of the Facilities team, including Contractor coordination and facility requests
- Assist in managing facility maintenance schedules, including air conditioning, plumbing and electrical
- Help with record-keeping for facility inspections, safety audits, and regulatory compliance
- Complete all Restricted Driver Authorisation (RDA) applications
- Monitor and manage office supplies, ensuring that facilities are stocked with necessary equipment and materials
Administrative Duties
- Maintain and update fleet and facilities management databases and tracking systems
- Respond to general inquiries from internal staff regarding fleet availability, facility maintenance issues, and safety concerns
- Schedule and organise meetings, inspections and other events related to fleet and facility management
- Provide general clerical support such as filing, data entry and document management
Required Qualifications and Experience
- Certificate III in Business (Desirable)
- Minimum 2 years’ experience in a fast-paced administrative role, preferably in fleet or facilities management, would suit candidates who have previously worked in body corporate or real estate
- Strong organisational skills and attention to detail, with the ability to manage multiple tasks simultaneously
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams), and familiarity with fleet management or facilities management software
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- Knowledge of fleet maintenance, vehicle compliance, and facility operations
Required Licenses and Checks
- Ability to pass a National Police Check – no Serious/Criminal/Court Records
- Current Blue Card (Queensland's Working with Children Check)
- Current C Class Drivers Licence (Qld)
- Proof of qualifications and current registration (as appropriate) are to be provided prior to commencement of employment
- Pre-employment checks may include the candidate to carry out a functional capacity test
