Disability Matters provides centre based and in-home support, supported accommodation and other services to people with disabilities. The Administration Officer - Supported Independent Living, plays a critical role in ensuring effective administrative support, workforce rostering, and operational coordination across Disability Matters’ Supported Independent Living (SIL) and Short-Term Accommodation (STA) services. This position ensures that participants receive high-quality support by maintaining accurate rosters, coordinating program resources, and supporting compliance with NDIS and industrial regulations. The role requires a proactive and highly organised individual with excellent problem-solving skills, attention to detail, and the ability to manage multiple tasks effectively.

Key Responsibilities:

Roster Coordination and Management

  • Develop and maintain efficient staff rosters that align with participant needs, funding requirements, and operational goals.
  • Ensure compliance with SCHADS Award, NDIS guidelines, and relevant workplace legislation.
  • Respond promptly to roster changes, including staff absences, and arrange appropriate replacements.
  • Monitor and manage shift patterns to prevent excessive overtime and ensure fair shift distribution.
  • Maintain up-to-date records of staff availability, leave requests, and shift changes.
  • Work collaboratively with the Supported Living Team Leader to ensure adequate staffing levels.

Operational and Administrative Support

  • Assist with general administrative functions, including filing, record-keeping, and data entry.
  • Maintain the participant database, ensuring timely reviews and updates.
  • Order and track office supplies, equipment, and other resources for SIL & STA programs.
  • Organise and document team meetings, including preparing agendas, taking minutes, and tracking action items.
  • Provide reception and general telephony support as required.

Communication and Coordination

  • Liaise with Support Workers regarding shift allocations, changes, and general rostering matters.
  • Communicate effectively with participants, their families, and stakeholders regarding staffing and service schedules as needed.
  • Collaborate with HR and Payroll teams to ensure accurate timesheets and compliance with employment awards.
  • Support house staff by ensuring they are informed and prepared for all scheduled meetings, appointments, and participant arrangements.

Compliance and Quality Assurance

  • Ensure all administrative and rostering activities align with Disability Matters’ policies, NDIS Practice Standards, and relevant legislation.
  • Maintain confidentiality and data security in all record-keeping and rostering activities.
  • Assist in internal audits, reporting, and quality improvement processes related to service delivery and compliance.
  • Support incident management by providing roster data to assist with investigations when required.

Key Selection Criteria

Essential

  • Experience in workforce rostering, preferably in the disability, health, or community services sector.
  • Advanced administrative skills with the ability to manage multiple priorities efficiently.
  • Strong problem-solving abilities, particularly in managing last-minute roster changes.
  • Proficiency in rostering systems and Microsoft Office Suite.
  • Excellent interpersonal and communication skills for liaising with multiple stakeholders.
  • Ability to work both independently and collaboratively within defined guidelines.
  • A current manual driver’s licence.
  • Strong understanding of privacy, confidentiality, and professional boundaries.

Desirable

  • Previous experience in an administrative role within the disability sector.
  • Knowledge of NDIS funding structures related to SIL & STA supports.
  • Knowledge of SCHADS Award, Fair work and Industrial Environment relevant to Disability Support

Additional Information

  • All Disability Matters employees must hold or obtain a NDIS Worker Screening Clearance.
  • A Working with Children Blue Card (or ability to obtain).
  • A current First Aid and CPR Certificate.
  • Some flexibility may be required to respond to urgent rostering needs outside standard business hours.
