About the role

We have an exciting opportunity for a part-time Medical Secretary to join our dynamic team at Wild Child Paediatrics' in Nedlands, WA. As our Medical Secretary, you will play a crucial role in supporting our paediatric healthcare professionals and ensuring the smooth day-to-day operations of our practice.

What you'll be doing

Manage and maintain patient records, including scheduling appointments, handling incoming calls, and ensuring accurate documentation

Assist with the coordination of patient visits, including preparing exam rooms, gathering necessary documents, and liaising with patients

Provide administrative support to our paediatricians, including typing correspondence, managing calendars, and coordinating with other healthcare providers

Maintain inventory and order medical supplies as needed

Contribute to the overall efficiency and positive patient experience within our practice

Maintaining Billing and Insurance:

• Handling insurance claims, authorizations, and billing for developmental assessments and treatments.

• Ensuring timely payment processing and managing outstanding balances

• Ensuring clear communication regarding scheduling, insurance, and reports.

• Customer Service, acting as the primary contact for patient families with administrative or logistical questions.

• Addressing patient concerns and resolving conflicts with empathy and professionalism.

• Keeping the practice compliant with legal, medical, and ethical standards, including those specific to developmental paediatric care.

• Monitoring and reporting patient volume, no-show rates, and other metrics to optimize the practice’s efficiency.

• Keeping the office organized, welcoming, and child-friendly.

• Ensuring all resources (toys, learning materials, and diagnostic tools) are maintained and readily available.

Unique Considerations for a Developmental Paediatric Practice:

1. Specialized Patient Needs:

• Families may require more time and sensitivity, so the manager should foster a supportive, understanding atmosphere.

2. Coordination of Care:

• Managing referrals and reports for schools, therapists, and specialists as part of integrated care plans.

3. Documentation Complexity:

• Developmental paediatricians often produce detailed assessments; the secretary may assist with formatting and sending these reports.

Skills Required:

• Strong organizational, data entry and multitasking abilities.

• Understanding of paediatric care and developmental challenges.

• Empathy and excellent communication skills, especially with parents and children.

• Familiarity with insurance and billing processes for developmental assessments.

What we're looking for

Previous experience as a Medical Secretary or in a similar administrative role within the healthcare industry

Strong organisational and time-management skills, with the ability to multitask and prioritise effectively

Excellent communication and interpersonal skills, with a warm and professional demeanour when interacting with patients and colleagues

Proficiency in using medical terminology and electronic medical record systems

A passion for providing exceptional customer service and contributing to the overall wellbeing of our paediatric patients

Experience in using medical practice software “Halaxy will be beneficial but not essential. Full training will be provided.
