About the business:
Fresh Catering and Events is a corporate, events and contract caterer based in Osborne Park. We have been in business since August 2017 and along with the catering arm of our business we run cafes and have started to slowly offer meals delivered to home. No two days are the same, ever, and as we expand the businesses reach, we all attend to what is there to be done.
About the Role:
Monday to Friday part time role for 25 hours a week. Supreme administrative skills needed with a solid, joyful and firm personality. The office is a key component to the rest of the business structure and depends on someone taking charge and leading from the front in all things admin.
Purpose of the Role:
The Administration Assistant role is to support the business with administrative responsibilities to ensure efficient operations of the business. This includes supporting managers and employees through a variety of tasks related to organisation, hr, sales, co-ordination and communication. We are looking for a part time team member to work 25 hours per week, Monday to Friday. It. is the key role between client and kitchen and is important that attentive customer service is a priority.
Key Responsibilities:
- General administrative/customer service to our valued customers and internal stakeholders
- Maintain a well-organised and efficient office environment
- Assist with bookings, deliveries receiving and processing catering orders and enquiries, practice sales to clients
- Enter data and maintain data in electronic and paper systems, including catering and administration software programs
- Provide general administrative support to team members & managing director
- Assist in recruitment, administration and onboarding of new casual staff including preparing and updating contracts.
- Assist with coordination of the casual staffing requirements for functions and events
- Provides operational assistance as required to catering teams to ensure delivery of functions and events
- Supporting management and delivery drivers
- Assist with marketing under the direction of management.
- Support in updating emergency plans and safety and health procedures, ensure staff attend specified safety related training, follow safe work instructions, undertake emergency management and safety related training and assumes responsibilities as required or directed.
- Keep equipment registers up to date at Fresh Catering and all café sites, develop a maintenance schedule and oversee its execution.
About you:
- Loves engaging with people and being part of a committed and solid team.
- 2-3 years experience as an Administration assistant is welcomed, with a solid background in administration, organisation and incredible customer service
- Presentable and well dressed
- You have a proactive approach to problem-solving, identifying solutions (quickly) for unforeseen circumstances and ensuring that all processes run smoothly.
- Keep track, follow up and complete tasks in an efficient manner
- Have some basic knowledge and experience with function & event operations from weddings, birthdays to corporate events.
- Able to work autonomously and collaboratively
- Proactive approach to developing new business and engaging new clients
- Consistency in supporting the office to get organised and systemised
- Patient in delivering the above and ensuring the team gets it
- High level skills in preparation of run sheets, briefs, documents, using all manner of software and systems
- Microsoft Office knowledge & skills. Mac OS desirable.
