About the Role
We are seeking a proactive, highly organised individual to join our team as an Administrative Assistant. This permanent, part-time role is 100% remote and offers the flexibility of working Monday-Friday, 8:00 AM – 2:00 PM, with the potential for increased hours as the company grows.
As an Administrative Assistant, you will assist with a range of administrative tasks to ensure the smooth daily operations of the business. You will need to work autonomously and communicate effectively with the team to ensure we maintain our high standards of service.
Key Responsibilities
Your main duties will include:
- Handling incoming phone calls with a friendly and professional manner, providing advice to clients and directing technical questions to the appropriate assessor.
- Screening and responding to emails, adding new jobs into our system, liaising with clients, and keeping job status updates current.
- Extracting and entering relevant client information from documents into our job management system.
- Following up on overdue or unpaid invoices.
- Issuing quotes and invoices to clients.
- Staying up-to-date with industry legislative changes.
- Providing general administrative support to the management team as needed.
About You
To be successful in this role, you will have:
- Operating System: Windows 10 or 11 operating system
- Processor: Intel Core i5 (10th Gen or newer) or AMD Ryzen 5 (3000 series or newer)
- Memory (RAM): At least 16GB of RAM
- Graphics Card: A dedicated GPU for handling large files and multi-tasking
- Display: Dual monitors for efficient workflow
- Internet: A stable, high-speed internet connection (minimum 25 Mbps)
- Previous experience in an administrative role.
- Proficiency in Microsoft Word, Microsoft Excel, Adobe Acrobat, and Xero.
- Exceptional written and verbal English communication skills.
- A friendly, professional phone manner.
- The ability to work independently and manage your time effectively.
