Job Title: Office Administrator - Out-of-School Hours Care
Location: Kids Cottage Middle Harbour
Employment Type: Part-time, Up-to 30 hrs week, Flexible school hours. Will be required to work during school holidays.
Office based work and not suitable for remote work at this time.
About Us:
The Kids Cottage Middle Harbour is a dedicated provider of high-quality Out of School Hours Care (OSHC) services, offering a safe and engaging environment for school-aged children with before school, after school and vacation care. We are a non-profit organisation, run in-house, on Middle Harbour Public School grounds, by a dedicated and passionate team of OSHC professionals who are supported by the P&C. We are licensed for up to 230 children and take out-of-area children during vacation care.
We are seeking a highly organized and motivated Office Administrator to join our team and provide essential administrative support in a busy and rewarding setting.
Role Overview:
As an Office Administrator in our Out of School Hours Care service, you will play a key role in ensuring the smooth operation of our programs. Your primary responsibilities will include handling administrative tasks, maintaining records, managing communication with our team and community, and supporting the staff to deliver exceptional care to children.
Key Responsibilities:
- Manage daily office operations, including answering phone calls, responding to emails, and handling inquiries from parents, staff, and the community.
- Maintain accurate records of child enrolments, attendance, and incident reports.
- Assist with the preparation and management of weekly and monthly schedules.
- Process and maintain financial records, including invoicing and fee tracking.
- Coordinate communication between staff, parents, and management.
- Ensure compliance with relevant regulations and policies.
- Support with general office management duties, including maintaining office supplies and equipment.
Key Skills & Experience:
- Proven experience in an administrative role, preferably in education, childcare, or similar fields.
- Strong organizational skills with a keen attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with databases or management software.
- Ability to work both independently and as part of a team.
- A positive attitude and a passion for supporting children and families.
- A valid Working with Children Check or the ability to obtain one.
Desirable:
- Experience in a school or OSHC environment.
