Administration Officer
Respond Fire is a trusted fire protection service company, proudly servicing the Sydney metropolitan, Blue Mountains and the Wollongong areas. We specialise in the inspection, testing, and repair of fire safety systems across a wide range of buildings — from residential complexes to commercial and industrial properties. The role
This is a diverse and hands-on role where no two days are the same. Working both autonomously and as part of a supportive team, you’ll be based in South West Sydney, providing essential administrative support to our technicians and assisting our customers with their enquiries and service needs.
The job comprises of three major parts:
- To provide excellence in external customer service
- Scheduling of all Field Service Technicians appointments
- Administration, data entry, data management to support the field service function.
About You
The successful candidate will demonstrate strong multitasking abilities and show full proficiency in coordination, scheduling, and customer service. Your ability to stay organised while managing competing priorities will be essential to your success.
Key Responsibilities
- Delivering exceptional customer service, building and maintaining strong relationships with both new and existing customers.
- Managing and coordinating the appointments and schedules for our field service technicians.
- Performing a variety of administrative tasks including data entry to prepare asset information for technician site visits, and processing supplier bills into Xero for end-of-month payments.
- Preparing and issuing customer reports and quotes in a timely and professional manner.
Experience & Qualifications Required
- Proven experience in coordinating, planning, and scheduling appointments for a small team of technicians, ideally in a service-based industry.
- Strong customer service skills, with highly developed interpersonal and communication abilities.
- Excellent organisational skills, with the ability to prioritise tasks, meet deadlines, and confidently problem-solve when challenges arise.
- A willingness and ability to learn new software systems.
- Comfortable working autonomously while also contributing as part of a collaborative team.
- Ability to remain calm and methodical in a time-sensitive environment, particularly when responding to client demands or emergencies.
- A formal qualification in Business Administration (or a related field) would be advantageous but is not essential.
Experience using Xero and/or Uptick is desirable but not required — training can be provided.
Working Days / Hours
Monday to Wednesday (7:30am-4pm).
