Position Summary

We are a fast-growing, female-owned and operated legal firm in the heart of Wodonga, seeking a motivated Part-Time Legal Office Assistant to support our day-to-day operations. You will work closely with our two principal lawyers and be an integral member of our team. This role will allow you to develop your administrative and client service skills while contributing to a dynamic, fun, and high-performing legal practice.

Key Duties and Responsibilities

1. Administrative Support
o Prepare, file, and organise legal documents and correspondence
o Maintain both paper and electronic filing systems
o Oversee the management of office supplies and ensure resources are well-
stocked
o Draft and proofread letters, memos, and other routine documents
o Maintain and coordinate the diaries of the solicitors
o Utilise the NSW and Victorian Government online portals that we interface
with to accept briefs and bill files
o Assist with panel membership maintenance requirements
o Execute basic accounting tasks through Xero
o Create and Maintain client files on our line platform Smokeball
o Brief and manage Counsel
o Brief and manage agents

2. Client Services
o Greet visitors and clients in a professional, friendly manner
o Handle incoming and outgoing phone calls and emails; manage the firm’s
general inbox
o Coordinate and schedule client appointments, meetings, and court
appearances
o Conduct client intake appointments including conflict checking and file
creation (online and hardcopy )
o Liaise with clients before and after court appearances , mediations or
assessments

3. Office Coordination
o Ensure the office remains clean, presentable, and welcoming at all times
o Assist with data entry, billing, and basic bookkeeping tasks as required
o Support lawyers during busy periods, including photocopying, scanning, and
organising case files
o Responsible for the coordination and timely payment of office maintenance
including cleaning , phone bills and power bills

4. Court Liaison
o Help prepare necessary documents for court hearings
o Coordinate with court staff when scheduling or confirming court appearances
o Assist lawyers with assembling and organising materials for court
appearances
o Speak to clients before and after court appearances to ensure they are
prepared and satisfied
5. Team Collaboration
o Participate in team meetings, offering suggestions for improved office
processes
o Work closely with colleagues to support one another’s tasks and deadlines
o Maintain a respectful, fun and communicative environment

Key Selection Criteria

1. Qualifications and Experience
o Previous experience in an office, administrative, or legal support role
(desirable)
o Basic book keeping skills highly desirable
o Confidence with online systems
o Basic knowledge of legal terminology or procedures is advantageous but not
required
o Ability to handle a high pressure high volume work environment with grace
and professionalism
2. Skills and Attributes
o Strong organisation and multitasking abilities
o Excellent written and verbal communication skills
o High level of attention to detail and accuracy
o Proficiency with Microsoft Office (Word, Excel, Outlook)

o Friendly, approachable demeanour suitable for an all-women, client-facing
environment

3. Personal Qualities
o Ability to work independently as well as part of a collaborative team
o Dependable and trustworthy in handling confidential information
o Willingness to learn and adapt in a busy legal setting
