About the Role:
We are seeking a detail-oriented Administration Officer - Clinic to join our multidisciplinary team. This role involves providing high-quality administrative services to support our clinical operations, ensuring smooth and efficient processes while maintaining a professional and welcoming environment.

Key Responsibilities:

  • Deliver exceptional customer service by responding promptly to client and stakeholder enquiries via phone, email, and in-person.
  • Manage Medicare billing processes and petty cash in the clinical setting.
  • Coordinate client visits, including recording client details and managing chart retrieval and filing.
  • Prepare cash receipt summaries and bank deposits while maintaining financial accuracy.
  • Manage incoming and outgoing communication, including mail, emails, and pathology reports.
  • Oversee administrative resources, including stationery and client information materials.
  • Facilitate collection and delivery of pathology and laundry services as required.
  • Support the Senior Nursing Officer, medical staff, and Business Manager with administrative tasks.
  • Ensure adherence to policies, procedures, and compliance requirements.
  • Assist with troubleshooting hardware issues under the direction of the ICT Officer.
  • Participate in continuous improvement initiatives for client management systems.

Skills and Experience Required

  • Proven experience in an administrative role within a medical or clinical setting.
  • Strong knowledge of Medicare billing and client management systems.
  • Excellent interpersonal and communication skills, with the ability to engage with clients and colleagues effectively.
  • High-level organisational skills with the ability to manage competing priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and digital technologies.
  • Ability to work independently and collaboratively in a team environment.
  • Commitment to maintaining confidentiality and handling sensitive information with professionalism.
  • Certificate in Medical Practice Administration or a related field.
  • Experience managing financial processes such as petty cash and bank deposits.
  • Familiarity with workplace health and safety policies and procedures.
