About the Role:

Join Search Property, a leading buyer's agency dedicated to helping Australians build scalable property portfolios, as our Office Manager/EA. In this vital role, you'll be the driving force behind our daily operations, providing comprehensive support to three executives and ensuring a seamless and efficient office environment. We're looking for a highly organised, proactive, and personable individual who thrives in a fast-paced, collaborative setting and is passionate about delivering exceptional support to both our internal team and external stakeholders.

Key Responsibilities

Executive Support:

  • Manage complex calendars, schedule meetings, and coordinate travel
  • arrangements for three executives.
  • Handle email correspondence and prioritise communications effectively.
  • Prepare and organise materials for meetings and presentations.
  • Process expenses and maintain accurate records.

Office Operations:

  • Maintain a clean, organised, and well-stocked office environment, including
  • kitchen and stationery supplies.
  • Manage relationships with vendors, building management, and service
  • providers.
  • Oversee the ordering and maintenance of office supplies.
  • Organise and set up internal team meetings.
  • Update and implement policies and procedures.

Client and Guest Relations:

  • Warmly welcome and greet clients, external stakeholders, podcast guests,
  • and other visitors.
  • Prepare meeting rooms and provide refreshments as required.

Team Coordination:

  • Assist with new starter onboarding, including introductions and temporary
  • corporate photo taking.
  • Support the planning and execution of internal team events and social
  • activities.
  • Assist with internal communications and key projects.
  • Liaise with external HR and manage on-the-ground processes, including
  • onboarding.
  • Confidently create visual presentations.
  • Process invoices.

General Administrative & Ad-Hoc Tasks:

Provide general administrative support, including answering calls and

managing mail. Undertake a variety of ad-hoc tasks as required to support the wider team and ensure smooth operations.

Here’s what your day may look like:

  • Managing executive calendars and coordinating meetings.
  • Welcoming and assisting clients and guests.
  • Ensuring the office is well-maintained and stocked.
  • Organising team social events.
  • Processing invoices and managing expenses.
  • Assisting with new starter onboarding.
  • Answering calls.
  • Maintaining stationery levels.

Qualifications and Skills:

  • Proven experience in an administrative, operational, or executive support role.
  • Strong organisational and time-management skills, with the ability to multitask and
  • prioritise effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • A proactive and positive attitude with a strong work ethic.
  • Ability to learn new systems quickly.
  • Ability to build strong internal relationships.
  • Experience with expense reconciliation.
