We are seeking an experienced full-time position (40 hours per week) of an Office Manager to oversee administrative operations, compliance management, and strategic planning within our institution. This role requires a proactive leader who can streamline office functions, ensure compliance with ASQA, CRICOS, and ESOS regulations, and support the smooth operation of student services and academic activities.
KEY RESPONSIBILITIES
Operations & Administration
- Oversee comprehensive administrative functions such as advanced document editing, formatting, and maintaining the institution’s electronic filing systems.
- Oversee and manage all administrative operations to ensure efficiency and compliance with ASQA, CRICOS, and other regulatory bodies.
- Where required, assist the contracts administrator and the PEO with the collation of supply and service agreements.
- Manage student records and accounts, including company credit card reconciliations.
- Implement and maintain policy frameworks to support student records management.
- Supervise office and institution supply management and ensure that all office equipment is maintained to the highest standards.
HR & Team Leadership:
- Assign work and monitor the performance of support staff, ensuring accountability and high productivity.
- Assisting our PEO with hiring, organising interviews and where required the performance management of employees.
- Lead the induction process for new hires and provide ongoing support to foster a collaborative work environment.
Strategic Planning & Implementation of Service Standards:
- Contribute to the planning and review of office services, setting priorities and work with departmental heads to ensure that the back office of the institution operates efficiently
- Assist with the allocation of teachers and assessors to designated courses within the institution.
- Allocate any office space, equipment as required by educational staff on the campus.
- Ensure that any evolving needs of the office are addressed efficiently with a view to achieving the best cost outcome for the institution.
- Liaison with trainers, course scheduling and ensuring student services compliance.
- Assist in the allocation of trainers and assessors, ensuring compliance with ASQA requirements.
- Collaborate with academic teams to optimise course delivery and resource allocation.
- Contribute to business development strategies, enhancing institutional performance and student satisfaction.
Regulatory & Compliance Management:
- Ensure strict adherence by staff to occupational health and safety regulations as well as compliance with relevant government legislation, policies, and procedures.
- Assist with the preparation of RTO compliance, annual compliance reports to ASQA (Australian Skills Quality Authority) and policy implementation.
- Assist in ASQA audits, student attendance tracking, and risk management.
Stakeholder Engagement:
- Coordinate and elevate staff engagement by organising premium social events, celebrations, and company-wide activities.
- Serve as a primary point of contact for operational inquiries, providing prompt support to senior staff and external consultants.
- Maintain high-level correspondence and reporting to ensure transparent communication across the organization.
Skills & Qualifications Required
- Minimum 2-3 years of progressive experience in an office environment
- Relevant post-secondary education from a business discipline at least at a diploma level.
- Demonstrated success in supporting and coordinating activities at a senior level.
- Strong knowledge of ASQA, CRICOS, ESOS, and RTO compliance requirements.
- Advanced proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook) is essential.
- Experience working an in post-secondary education institution highly desired.
- Excellent interpersonal skills with the ability to engage effectively with stakeholders across all levels of the organisation.
- Proactive and self-directed, with the capacity to work independently in a fast-moving office environment.
- Enthusiastic demonstrates professional presence.
- Be able to work under pressure, with a results-driven positive attitude.
- Excellent problem-solving, leadership, and organizational skills.
SALARY RANGE
- AUD80,000 – AUD90,000
