About the role

St Clare's Catholic School, Burdell is seeking a dedicated and experienced Administration Officer - Records Management to commence as soon as practicable completing 25 hours per week until 5 December 2025. The role is a Term Time, Fixed Term position.

The Administration Officer has the responsibility to be aware of and act in accordance with the Mission and Purpose of Catholic Education and Catholic Education Policies and Procedures.

The position supports the efficient and effective day-to-day attainment of St Clare’s Records Management outcomes. It provides quality, accurate administrative competency in records digitisation and storage.

Key Responsibilities

  • Maintain and store records (both electronic and hardcopy) in an accurate, timely, confidential manner.
  • Collate and prepare records for in-house or offsite digitisation.
  • Digitise records under the supervision of Records Management staff, in accordance with the TCE digitisation guidelines and procedures.
  • Maintain spreadsheets and other records relating to the digitisation and management of records.
  • Where required, support the retrieval and management of electronic and physical records.
  • Liaise as necessary with other internal stakeholders within Townsville Catholic Education (TCE) and the Diocese of Townsville Archives facility.
  • Assist other Administration Officers as and when required.

About You

  • Demonstrated ability to prioritise and manage deadlines and workloads to ensure outcomes are achieved within expected timeframes.
  • Experience and proficiency in the use of Google and Microsoft Office Suites.
  • Demonstrated experience with the provision of administrative support.
  • Previous experience within the Education sector would be considered advantageous
  • Knowledge of office procedures and practices with the ability to identify and implement improvements.
  • Ability to solve problems and contribute to process improvement.
  • Possess excellent interpersonal and communication skills.
  • Proven history of professional work ethic.
  • Enthusiastic, energetic, and flexible with a proactive attitude.
  • Ability to develop and sustain productive working relationships.

Mandatory Criteria

  • Current Working with Children Suitability Card or eligibility to obtain same *
  • Current Driver’s Licence
  • Ability to travel from time to time within the Catholic Diocese of Townsville
  • Ability to perform the physical requirements of the role in a safe manner.

* The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by the Queensland Government.

Desirable Criteria

  • Previous experience in the Education sector would be considered advantageous
  • Experience with Google workspace
