We are a successful independent real estate agency with a high performing team of 12 lead agents. Our Indooroopilly team is looking for an administrative assistant to form the backbone of their operation.

You will be extremely hands-on in a busy, fast-paced, exciting and challenging role. We are looking for a proactive individual with superior administration skills, highly motivated, disciplined and with a desire to succeed. Your focus will be across all aspects of the business, and through commitment and determination, we will provide you significant room for growth.

Your responsibilities will include:

  • Process new listings and communicate timelines with vendors
  • Schedule photos and copywriting
  • Co-ordinate compliance with vendors
  • Create open home files including draft contracts
  • Oversee property launch process
  • Communicate open home times with vendors
  • Prepare open home collateral
  • Draft offers and reports
  • Build Auction Boards and prepare auction material
  • Process contracts
  • Arrange pre-settlement inspections with vendors and buyers
  • Calendar management
  • Preparation of appraisal files
  • Listing management
  • Maintain Upcoming Listings and Current Stocklist spreadsheets
  • Maintain stock of marketing collateral ie Team Booklet, Residential Reports, Bidding Guides
  • Review and create processes to enable smooth operations and clear communication between team members and clients

Qualities you possess:

  • Administration experience is essential. Minimum 2 years experience in any admin role is required. Real estate experience is not necessary, but would be highly advantageous.
  • High level of spelling & grammar. Neat handwriting, competent speller (without spellcheck)
  • Bilingual: Ability to speak Mandarin or another language would be desirable.
  • Intermediate to Advanced computer skills, especially with Microsoft Outlook and Word; typing speed of at least 40wpm.
  • Teamwork: willingness to assist and support others as required and get on with team members.
  • Time management/organisation: accomplish objectives effectively within time frame given, and carry out administrative duties within portfolio in an efficient and timely manner.
  • Communication: the ability to communicate clearly and concisely, varying communication style depending upon the audience.
  • Attention to detail: excellent attention to detail and written skills when communicating with others, both internally and externally.
  • Customer service focused: committed to providing exceptional customer service across all channels – written, phone and face to face.
  • Commerciality: ability to apply knowledge in a practical, commercial manner.
  • Located in Western Suburbs: living locally is preferred.
  • Having own reliable vehicle is essential
