An established and reputable privately-owned Melbourne-based construction and engineering business, with 15 years of operation, is seeking a Bid Coordinator to join their dynamic and growing team. Specializing in commercial building, cladding, civil and industrial construction, the company is committed to delivering the highest quality work while maintaining a strong reputation for collaboration, continuous improvement, and certainty of delivery.

Position Overview:
The Bid Coordinator will play a vital role in managing the end-to-end tender submission process. Reporting to the Directors, General Manager and Estimating Manager, the successful candidate will be responsible for preparing and compiling tender responses, liaising with various internal and external stakeholders, reviewing tender documentation, and ensuring high-quality and timely submissions. This position is key to maximizing tender success and contributing to the ongoing growth of the business.

Key Responsibilities:

  • Liaise with clients, project managers, architects, engineers, and suppliers.
  • Issue written and verbal communications as required.
  • Organize and attend meetings, taking accurate minutes.
  • Review and analyze tender documentation, including architectural, structural, and service drawings and specifications.
  • Identify response requirements for each tender and develop strategies to gain a competitive edge.
  • Proactively seek opportunities to improve tender performance.
  • Prepare and compile tender documents to ensure all response requirements are met.
  • Work closely with internal teams to ensure timely completion of inputs.
  • Develop creative elements to tailor submissions to suit the project.
  • Review tender documents for accuracy and formatting.
  • Finalize and submit tender documents on time.
  • Liaise with General Manager, Estimating Manager and Estimators for approval of final tender format.
  • Foster strong, professional relationships with clients and stakeholders.
  • Assist in preparing marketing materials such as capability statements.

Key Skills & Experience:

  • 3+ years of experience in a similar role (construction or engineering highly regarded).
  • Strong project management and organizational skills.
  • Proficiency in Adobe Creative Suite (InDesign) and Microsoft Office.
  • Ability to work under pressure and meet deadlines.
  • Driven and results-oriented with a focus on high-quality outcomes.
  • Strong organizational and problem-solving skills.
  • Collaborative and team focused.
  • High ethical standards and integrity.
