Executive Assistant – Part Time – 1 Year Contract
$95K package including Super – Pro rata (2 days a week)

About the Role
Supporting the Managing Director/CEO, this position calls for an experienced Executive Assistant capable of balancing multiple priorities while delivering seamless executive support. This is a 1-year contract role, covering maternity leave. The position is part-time, requiring in-office presence two days a week (Tuesday and Thursday) at our CBD office location.
Key Roles and responsibilities
- Efficiently manage and coordinate the MD’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Act as the primary point of contact between the MD and internal/external stakeholders, handling calls, emails, and correspondence.
- Organise and prepare materials for meetings, take detailed minutes, and ensure follow-up on action items.
- Prepare board materials, prepare agendas, take minutes, and track action items for quarterly board meetings.
- Draft, review, and edit documents, reports, and presentations as needed.
- Oversee office operations, including maintaining supplies.
- Handle sensitive information with discretion, maintaining the highest level of confidentiality.
- Assist with special projects, conducting research, compiling data, and preparing reports.
- Track and report on the MD’s expenses, ensuring timely reimbursement and accurate record-keeping.
What you will need to succeed
You will be an assistant accountant with the following credentials
- 2+ years of experience as an Executive Assistant, ideally with board-level exposure.
- Experience in the general insurance industry or a comparable sector is a plus but not essential.
- High proficiency in MS Office Suite (PowerPoint, Outlook, Word, Excel).
- Experience with InDesign and board governance software (Onboard, Diligent) but not essential.
- Capable of handling highly confidential information with discretion and professionalism.
- Excellent problem-solving skills, keen attention to detail, and a proactive mindset.
- A warm and approachable personality with outstanding communication skills.
