About This Opportunity

Are you an organized and proactive professional with a passion for providing high-level administrative and executive support? The UQ Business School is seeking a dedicated Executive Assistant to support our Head of School (HOS). In this pivotal role, you will not only manage essential administrative tasks but also play a key part in driving strategic initiatives and fostering engagement with a diverse range of stakeholders.

Key responsibilities will include:

  • Executive Assistance: Provide proactive support to the Head of School, including calendaring, executive travel coordination, handling communications and enquiries from a wide range of internal and external stakeholders and preparation of correspondence and presentations.
  • Committee support: Coordinate committee meetings, including scheduling, documentation, and liaison with partners.
  • Administrative, financial and project support: Handle day-to-day office operations, organise and manage relevant financial matters and delegations, organise functions and events as required, contribute to projects, and undertake other duties as needed.

About You
  • A degree with subsequent relevant experience; or extensive experience in executive support;
  • Excellent verbal and written communications skills with high attention to detail and the ability to draft documents, reports and submissions. Demonstrated project and resource management, organisational and administrative skills and ability to manage multiple priorities and projects.
  • Excellent interpersonal skills and a collaborative working style in engaging in close and genuine partnerships with multiple stakeholders at all levels.
  • Demonstrated ability to work independently and/or as part of a team and manage multiple tasks often working to tight timeframes.
  • Excellent critical thinking and problem-solving skills and demonstrated ability to be adaptive and innovative in pursuing solutions in a dynamic, multifaceted work environment.
  • Advanced computer literacy skills, including experience with a wide range of software applications.
  • Level of sensitivity when dealing with confidential matters.
  • An understanding of, or the ability to acquire knowledge of University operations, policies and procedures.

The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia etc.
