Yallambee Traralgon Village for the Aged Inc. is a community based Not-For-Profit service comprising of Margery Cole, residential aged care facility, and Independent Living Village. As the Finance Coordinator, you will work closely with and reporting to the Finance Manager, providing support to the Executive Business Services Manager to oversee financial processes, maintain accurate accounting records, support budgeting and reporting functions to ensure accurate financial processes and compliance with aged care funding requirements.
The Finance Co-ordinator will be responsible for preparing and processing accounts payable, accounts receivable, general ledger and supporting the payroll functions. You will also be pivotal in leading the implementation of new finance software and integrating financial data to streamline operations and improve reporting accuracy.
Full-time position (76 hours per fortnight).
Reporting Relationship:
Reporting to the Finance Manager through to the Executive Business Services Manager.
Qualifications:
- Diploma on Financial Management will be considered with the appropriate level of experience (outlined below)
Experience:
- Minimum of 3 years financial management experience at a senior financial co-ordinator or management level.
- Previous experience working within aged care sector and a Not-for-Profit organisation would be highly advantageous
- Demonstrated experience in developing effective business, financial and accounting systems and processes
- Proven skills in financial accounting, forecasting, budgeting, analysis, and reporting ensuring legislative compliance including reporting and reconciliations.
- Experience managing the general ledger, including reconciliation, journal entries and the flow through to the financial statements.
- Demonstrated experience in overseeing accounts payable and accounts receivable processes
- Experience with payroll processing and compliance requirements
- Demonstrated experience to lead and support the implementation of new financial software, ensuring smooth integration with existing systems
Key Competencies:
- Relevant hands-on experience in finance/accounting at a senior co-ordinator / management level.
- Knowledge and experience in accounting and administration processes with routine and periodic reporting requirements at the professional level and preferable within the Retirement and Residential Aged Care accommodation sectors
- Experience managing finance staff to achieve accounting and financial outcomes defined by performance indicators
- Knowledge of cash flow management, cash handling, processing and appropriate internal audit check and audit process
- Knowledge of and user familiarity with relevant IT systems, for example, Microsoft and accounting software applications (Aged Care will be an advantage)
- Commitment to ensuring sound and innovative Occupational Health and Safety policies and practices
- Ability to foster and maintain effective, cohesive relationships with other leaders within the organisation and the wider community.
Key Responsibilities:
- Co-ordinate general ledger, accounts payable, and accounts receivable – Supporting the Finance Manager to oversee all financial transactions, ensuring accuracy, compliance, and timely processing of payments and invoices.
- Provide financial administration support, including reporting and reconciliations – Assist in the preparation of financial reports, account reconciliations, and financial audits to maintain strong financial health and compliance.
- Process payroll accurately within set timeframes – Backfill payroll or provide additional support as required to ensure all staff are paid correctly and on time by processing payroll in line with legislative requirements, workplace agreements, and internal policies.
- Implement and integrate new financial software – Play a key role in introducing and managing the transition to new financial systems, ensuring smooth integration with existing processes and improving efficiency.
- Prepare resident accounts, payroll reports, and monthly financial statements within deadlines – Develop efficient processes to issue resident accounts, payroll reports, and financial statements promptly and accurately.
- Maintain compliance with financial regulations, accreditation standards, and organisational policies – Ensure all financial operations meet required aged care funding, taxation, superannuation, and reporting obligations.
- Act as the primary contact for Accounts Payable (in the absence of the Finance Manager), managing vendor records and invoice processing – Maintain relationships with vendors, review and process invoices, and ensure proper record-keeping for all transactions.
- Support taxation, superannuation, and other statutory obligations – Assist the organisation in fulfilling financial reporting obligations, ensuring timely lodgement of taxation, superannuation, and other compliance requirements.
- Ensure data integrity, confidentiality, and accurate record-keeping – Maintain secure and well-organised financial records, ensuring compliance with auditing and data protection standards.
