As a family-owned company with exciting growth plans, we are seeking a highly organised and motivated Office Administrator to join our team. This role presents a fantastic opportunity for a candidate to grow with the business and contribute to our reputation for operational excellence.

About the Role: As the Office Administrator, you will be instrumental in ensuring the smooth operation of our office and supporting our diverse team. Your responsibilities will include overseeing daily office functions, managing office supplies, facilitating communication across departments, and providing administrative support to the management team. You will be part of a vibrant and dynamic team, and your role will be key in maintaining high standards of efficiency and customer satisfaction.

Key Responsibilities:

  • Manage daily office operations, creating a productive and collaborative work environment.
  • Coordinate office activities to ensure efficiency and compliance with company policies.
  • Maintain an organised administration and filing system, ensuring accurate and accessible records.
  • Act as the first point of contact for clients, fostering positive relationships and enhancing customer satisfaction.
  • Screen phone calls and redirect them appropriately.
  • Provide support to the management team with various administrative tasks and projects.
  • Prepare regularly scheduled reports and assist with other administrative duties.
  • Organise meetings and appointments, ensuring effective use of time.
  • Maintain office supplies inventory and order as needed.
  • Handle sensitive information with discretion and confidentiality.
  • Support special projects and other tasks as needed.

Requirements:

  • Proven experience in an administrative or office management role.
  • Exceptional communication skills, with the ability to engage effectively with a diverse team.
  • Strong organisational and leadership capabilities, with attention to detail.
  • Knowledge of office management procedures and basic accounting principles.
  • Experience with business accounting software packages.
  • Proficiency in MS Office (especially Excel and Outlook).
  • Strong problem-solving skills and the ability to work independently and efficiently.
  • A positive and approachable attitude with a customer-focused mindset.
  • Knowledge of Asian foods and culture is highly regarded.
  • Previous experience in the food industry is preferred, though not essential.

Preferred Qualifications:

  • Relevant qualification in business administration or related field.
  • Familiarity with office management software such as MS Office and ERP systems.
  • Second language in either Mandarin, Cantonese or Vietnamese
