About the role
We are seeking a highly organised and detail-oriented individual to join our team as an Office Administrator at our Brunswick, Victoria office. This full-time role will play a crucial part in ensuring the smooth running of our dynamic accounting firm. As the first point of contact for our clients, you will be responsible for providing exceptional customer service and supporting our team with various administrative tasks.
What you'll be doing
- Managing all office reception duties, including greeting visitors, handling phone and email inquiries, and directing enquiries to the appropriate team members
- Managing appointments
- Providing administrative support to the management and accounting teams, including data entry, document preparation, and filing
- Coordinating office supplies and equipment, ensuring the office is well-stocked and operational
- Assisting with the organisation and coordination of meetings, events, and travel arrangements
- Maintaining and updating ASIC related documents
- Providing a warm and welcoming environment for our clients and colleagues
What we're looking for
- Minimum 1-2 years of experience in an office administration or receptionist role, preferably within a professional services or accounting environment
- Proficient in English, and able to speak Mandarin/Cantonese
- Excellent communication and interpersonal skills, with the ability to interact with clients, colleagues, and stakeholders at all levels
- Strong organisational and time-management skills, with the ability to prioritise tasks and work effectively under pressure
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and a willingness to learn new software and systems
- Demonstrated attention to detail and a commitment to maintaining accurate and up-to-date records
- A positive, friendly, and customer-focused attitude
