Role description
Reporting to the Senior Operations Manager, the Operations Manager will support the event management teams and execute operational delivery of allocated events safely and to budget.
The main accountabilities of the Operations Manager include:
- Develop, document, implement & monitor event operations systems and governance to ensure customer satisfaction and operational success
- Collaborate with key contracted experts and internal teams to ensure the customer experience expectations are clearly communicated and delivered in event operational planning
- Develop and maintain systems to ensure that all event operations are compliant with the relevant legislation and regulatory requirements
- In collaboration with contracted experts, develop detailed operational planning for all operational areas of the event including; risk and safety management, site management, production management, medical management, traffic management, security management, waste and sustainability management, alcohol management & vendor management.
- Develop and manage a detailed consultation strategy ensuring clear communication with all contractors & suppliers
- Coordinate contractor & supplier meetings and engagement, acting as the events representative with external agencies and other relevant operational stakeholders
- Attendance at the events to ensure the successful roll out of all operational aspects with all teams (site, production etc) working onsite.
- Oversee the WHS requirements for contractors & suppliers working closely with the contracted Safety Manager.
- Develop the event’s operational site plans and infrastructure requirement database
- Liaise with all event departments to ensure operational requirements have been accurately quoted for budgets and work within the site
- Manage internal ordering systems to ensure simplicity of process and accuracy of information
- Maintain the event’s operational budget using provided procurement, purchasing & audit system tools to ensure the operational and financial success of the events
- Coordinate key department managers to ensure incoming information into budgets systems is accurate and up to date
- Brief, negotiate and engage suppliers and service providers based on budgeted needs
- Use high-level attention to detail to ensure budget tools are accurate ahead of budget and procurement meetings
- Execute audit of all services and suppliers against invoices
Our ideal candidate will bring;
- Excellent project management skillset and understanding of the application to large-scale music events
- Ability to build rapport quickly and develop relationships
- Capable of reviewing and understanding contracts and updating templates with key information and terms for review
- 5+ years site or event management experience and with a strong understanding of major events
- Experience in excel and financial tools (budgeting, procurement & general financial management as it relates to site costs)
- Proven experience managing budgets and delivering end to end event operations
- A solid knowledge of the Australian major events landscape and operational suppliers
- Excellent attention to detail
- Exceptional oral and written communication
- Ability to work under pressure and maintain a high-standard of work
- A passion for working in the music and events industry and an understanding of the unique hours required around events launches and delivery
- Vectorworks or CAD experience is preferred
- Extensive knowledge of Australian event suppliers and event equipment
- Tertiary qualifications in Project Management and a Risk Management Certificate would be preferred
- A valid Drivers License
