About the role
We are seeking a highly organised and experienced Executive Assistant to join our passionate team at the Sisters of Mercy Brisbane Congregation in Nudgee, Queensland. This full-time role will provide executive-level support to our leadership team, ensuring the smooth running of our office and contributing to the achievement of our organisation's goals.
What you'll be doing
- Providing administrative support to the executive team, including diary management, meeting coordination, and travel arrangements
- Handling and prioritising incoming correspondence and enquiries, ensuring timely and appropriate responses
- Assisting with the preparation of reports, presentations, and other documents as required
- Maintaining electronic and physical filing systems to ensure efficient record-keeping
- Providing support for special projects and events as needed
- Demonstrating a high level of confidentiality and discretion when handling sensitive information
What we're looking for
- Several years of experience in an executive assistant or similar role, preferably in a not-for-profit or community-based organisation
- A well developed ability to take formal meeting minutes, prepare board style papers and agendas and prepare formal documentation
- Ability to work cooperatively with a range of stakeholders, the wider congregation team and a positive “can do” attitude
- Excellent organisational and time management skills, with the ability to prioritise tasks and work effectively under pressure
- Strong written and verbal communication skills, with the ability to liaise with stakeholders at all levels
- Proficient in the use of Microsoft Office suite and other relevant software
