A day in the life of the event lead

Reporting to the event manager a typical day as an event lead could involve contact with event suppliers such as venues, photographers, and AV providers. You will source quotes, manage invoices, and budgets. You will create speaker briefings, running orders, chair notes, and staff role documents. You will create and monitor ticketing through our event software, extract data, create registration lists, and perform administrative tasks including registration alterations, group bookings, and dietary requirements. You will work with the event coordinator to respond to event inquiries.

On event delivery days, you will travel to the venue. You will assist with event set-up including banners and registration desks. You will act as the point of contact for suppliers and providing briefings on the overall event logistics. You will greet speakers and facilitate their requirements. You will welcome attendees and manage the overall guest experience. You will oversee the event timeline, ensuring everything runs on schedule. You will assist with the event pack down.

Responsibilities

The Event Lead will support the delivery of IPAA ACT physical and digital events. They will manage relationships with stakeholders and lead the coordination and organisation of all logistics including venues, AV services, digital transmission, registration and ticket management, calendars, administration, and other activities associated with event delivery. The Event Lead provides support to the Event Manager as part of a small, agile team. They work closely with other team members and assist with the training of new and less experienced team members to lead the delivery, high-quality events for our members.

The Event Lead is accountable to:

  • Lead the coordination of event logistics with partners, stakeholders and providers including venue, AV, production, catering and marketing and communications
  • Manage event registrations and invoicing in event management platform
  • Lead engagement and liaison with departments and agencies and provide advice on ticketing and attendance matters
  • Develop and create briefing documents
  • Support event speakers and their staff
  • Lead the management of physical, digital, and hybrid events
  • Undertake other duties to support event delivery
  • Provide training for new and less experienced team members
  • Demonstrate our team values (inclusive, trusted, inspirational, professional, agile, connected) in all interactions and activities

Skills required

  • A minimum of 1-2 years events experience
  • Well-developed interpersonal and client service skills
  • Well-developed stakeholder management skills
  • Strong organisational, coordination and prioritisation skills
  • Demonstrated critical thinking and problem-solving skills
  • High level IT knowledge including experience with databases, online planning tools and full Microsoft suite
  • Excellent verbal and written communication and presentation skills
  • Genuine interest in the public sector
  • Ability to professionally represent IPAA with members, clients, partners, and stakeholders
  • Experience using Xero, Cvent and CRM’s will be highly regarded
  • A valid driver's license is desirable
