About This Opportunity

An exciting opportunity has arisen for an Administrative Assistant to offer comprehensive facility coordination and administrative support to the Rural Clinical School Wide Bay Learning Community.

This role involves providing exceptional customer service, reception duties, and administrative support, while liaising with both internal and external stakeholders. Additionally, the position will ensure the smooth and efficient operation of student accommodation, office procedures, logistics, and maintenance of high standards.

Key responsibilities will include:

  • Support the Facility Coordinator with building maintenance, student accommodation management, and ensuring compliance with health and safety standards, act as a liaison for accommodation concerns.
  • Coordinate meetings, events, and administrative tasks, including document management, financial processes, and staff onboarding, ensuring smooth operations.
  • Assist Clinical Skills Educators with equipment setup, stock monitoring, and ordering supplies to support the clinical skills program.
Location and Reporting
  • This position is located at Rural Clinical School, Hervey Bay Regional Clinical Unit and reports to the Facilities Coordinator.

Faculty of Health, Medicine and Behavioural Sciences

The newly established Faculty of Health, Medicine and Behavioural Sciences will be an interdisciplinary powerhouse of innovation and collaboration to lead integrated solutions to the needs of the communities we serve locally and globally. UQ offers one of the widest ranges of health and behavioural sciences programs of any Australian university, and the ambition for this new Faculty will be to will be to leverage its unified suite of esteemed schools, institutes and centres to unlock opportunities within UQ and with external partners

About You
  • A diploma with subsequent relevant experience or financial administrative experience or an equivalent combination of relevant experience and/or education training
  • At least 2 years' experience in facility coordination, project management or similar. Experience in managing building management and operations will be highly regarded.
  • Proven ability to manage competing priorities, work autonomously and meet deadlines whilst maintaining a high level of customer service.
  • Strong written and verbal communication and interpersonal skills, with the ability to listen, understand and interpret client's space needs.
  • Excellent problem solving and analytical skills, and ability to work with a high level of accuracy.
  • Demonstrated experience and skills utilising various information technology systems, including Microsoft Office suite, Archibus integrated facilities management platform and StarRez or similar.
  • Good understanding of current health and safety regulations and the demonstrated practical application of regulations to ensure compliance.
  • Proven adaptability and ability to work both independently and as part of a team.
