Company Summary:

My client is a luxury developer builder with an excellent reputation in the Queensland market spanning over 25 years of proven success delivering projects in excess of $70m+ specialising in the commercial project market. This organisation had a successful 2024 and are well and truly geared up for an incredible start to 2025 and beyond!

They operate across a range of delivering methods, with D&C being a big focus they are looking for someone with proven experience within the Commercial Construction industry.

Position Goal -

The Administration Officer will play a pivotal role in overseeing and managing the administrative operations of the organisation. Your primary responsibility will be to assist the General Manager - to create a process oriented, efficient environment, ensuring seamless communication within the Build team and other Azure related entities, through effective time management, process implementation, and cultural alignment.

The successful Administration Officer is an energetic, intelligent professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people.

Key Result Areas:

The Administration Officer position aims to improve and leverage the reputation of the company by:

  1. Assist and support the General Manager through the management and implementation of administrative tasks and projects that support and enhance the seamless running of the Build entity.
  2. Drive the collation and preparation of all necessary reporting within the individual build teams.
  3. Assist in the staff recruitment process.
  4. Assist in the administrative tasks required to implement standardisation initiatives across the Build team.
  5. General day to day administrative tasks.
  • Diary and email management.

Key Accountabilities:

  1. In Conjunction with the General Manager, assist and facilitate process documentation and implementation.
  2. Assist in the administration of staff training relating to professional development, process implementation and ongoing check in points.
  3. Assist with Human Resources (HR) through the administration of the following tasks:
  • Recruiter engagement and relationship management.
  • In collaboration with the General Manager, assist in short listing candidates (screen resumes).
  • Coordinate 1st and 2nd
  • Coordinate with the HR Manager the Letter of Offer as directed by the General Manager.
  • Coordinate with the HR Manager to ensure the Onboarding process is triggered and tracked.
  • Facilitate/coordinate staff training events as required.
  1. Assist the General Manager with:
  1. The prioritisation of emails and filing systems.
  2. Diary management and prioritisation of internal and external meetings.
  3. Preparation of monthly board reports through the administration and collation of data from the various teams.
  1. Co-ordination of internal meetings through preparation of agendas and other written materials.
  2. Attend meetings as assigned by the General Manager, accurately document meeting minutes, and ensure timely distribution
  3. Provide general administrative support to the General Manager.
  4. Coordinate IT assistance for the "Build team".
  1. Always maintaining the highest level of confidentiality.

Qualifications and experience:

  • 2+ years experience in a clerical/administrative position (Construction and Development industry preferred).

  1. Demonstrated ability to maintain discretion, confidentiality, maturity, and judgement in responding to/and in management of communication with all internal and external stakeholders.
  2. Excellent written and verbal communication and presentation skills.
  3. Highly developed time management, planning and organisation skills with the ability to prioritise and meet deadlines.
  4. Ability to multitask in busy work environment.
  5. Able to take direction well and work with minimal supervision.
